Job overview
We’re seeking a highly organised and detail-oriented Medical Workforce Officers to join our team. This is a fixed term position (covering maternity leave) from end of April 2025 until early December 2025.
In this role, you’ll manage a variety of responsibilities, from recruiting top candidates and preparing interview materials to handling payroll. You'll need to be adaptable and thrive in a fast-paced environment where priorities can shift.
While experience in Medical Workforce isn’t essential, a strong background in recruitment or generalist HR is a must.
We’re looking for someone who’s self-driven, adaptable, and able to manage both routine and unexpected tasks with professionalism and efficiency. Organisation and attention to detail are key, but most importantly, you should be passionate about supporting our team and helping us achieve our collective goals.
As a Medical Workforce Officer, your days will be as varied as they are rewarding. One moment you’ll be managing shared mailboxes, and the next you’ll be offering HR policy advice. Key responsibilities include:
* Recruiting and onboarding the best talent
* Inputting pay data to ensure timely and accurate payments
* Offering general administrative support to the team and providing basic HR advice.
This position offers flexible working with on-site and remote work, primarily based at Royal Surrey Hospital.

Main duties of the job
* Deliver a range of recruitment and HR services ensuring that recruitment processes are carried out in accordance with the Trust’s Recruitment and Selection Policy, and doctors are paid correctly in line with T&C’s.
* Provide advice and guidance to managers on the application of policies and procedures relating to career and training grade doctors including the recruitment process and terms and conditions of service.
* Provide advice and information to all grades of doctors on terms and conditions such as maternity leave, annual leave and study leave entitlements, starting salaries, work permits/visas.
* Maintain and update the recruitment tracker/database, and new starter list, and produce information as requested on posts being processed.
* Administer the Allocate system in terms of issuing logins, removing leavers.
* Administer the SAMT (Statutory and Mandatory training) accounts and logins for new starters.
* Undertake association of Smartcards.
* Support the recruitment and on-boarding of IMG’s (International Medical Graduates)
* Complete requests for certificate of employments for medical staff and tenancy/mortgage reference checks.

Detailed job description and main responsibilities
* Manage the recruitment administration/pre-employment clearance process on a day-to-day basis for your specified areas for Trust doctors (inc international doctors) and Doctors in Training.
* Process all job advertisements ensuring that they are published on TRAC. This will include screening and amending poor adverts, checking and amending job descriptions/person specifications for inaccuracies.
* Ensure the shortlisting is completed and the interviews dates organised in a timely manner by managers.
* Ensure the processing of interview invitations and the prompt distribution of any associated documents.
* Issue offer letters to successful candidates, ensuring they are issued accurately and promptly.
* Request appropriate references for successful candidates and ensure that these are approved by the manager.
* Undertake full pre-employment screening for each applicant in accordance with the 6 NHS Check Standards e.g. DBS, Occupational Health, right to work.
* Identify and record any discrepancies on DBS checks received and ensure the Medical Workforce Manager is aware. Liaise with departmental managers to ensure a risk assessment is completed for these doctors where applicable.
* Resolve work permit/visa/Right to Work issues referring to the Medical Workforce Advisor/Manager if required.
Person specification
Qualifications
* A level standard/NVQ 3 or equivalent qualification/experience, preferably in a HR related area
* GCSE or equivalent in Maths and English
* CIPD part or fully qualified (CPP/Level 3 qualification)
Knowledge and Experience
* Administration experience in a busy office environment
* Working in customer orientated environment
* Working in a team
* Some recruitment/HR/Temporary Staffing experience
* Knowledge and use of e-recruitment websites
* Awareness of career and training grade doctors terms and conditions of employment
* Knowledge and experience of an integrated human resources/reward and administration computer system
* Experience in a NHS medical and dental recruitment/staffing/education role
