Job Overview
Avon Breast Screening is the largest breast screening programme in the South West, inviting over 60,000 women every year for breast screening. It is one of the National Health Service Breast Screening Programmes (NHSBSP) aiming to save lives through early detection of breast cancer.
Approximately 5% of women who have routine breast screening are recalled for a further assessment and just under 1% of this cohort go on to have treatment for breast cancer. We refer patients for surgery to NBT Southmead Hospital, The RUH Bath and Weston General Hospital.
The Role Of The Data Collection Officer Includes
* The accurate data entry of biopsy and surgery pathology reports on to the National Breast Screening System (NBSS).
* Manage large complex data sets and interpret complex clinical information.
* Collection and inputting of interval cancer data on to NBSS.
* Collating patient information for weekly Multidisciplinary Team Meeting (MDT) and input outcome information on to the Cancer Register.
* Obtaining and entering pathology data for the KC62 annual statistical report and BASO (British Association of Surgical Oncologists) audits and supporting the Programme Manager to complete these audits.

* Book surgical appointments for patients referred to NBT Southmead Hospital, Weston General Hospital and the RUH, Bath.
* Identify patients with an interval cancer (cancer diagnosed between 3 yearly routine screening) using outcomes from weekly multidisciplinary team meetings Southmead & RUH patients). Print reports from pathology system (ICE) or request from other hospitals.
* Deal with any ad hoc queries from NHS England Breast Screening Quality Assurance team regarding Interval cancer data. Investigate and resolve any queries.
* Manage the flow of complex patient information for the weekly MDT meetings. This includes collating the MDT list, adding every patient on to Cancer Register (telephone results patients and referral patients): sending provisional and final list to MDT co-ordinators, prepare paperwork (assessment sheet, mammogram sheet, registrations sheet, pathology report) for telephone results section and stereo core section.

Duties
Detailed job description and main responsibilities
* To monitor and manage the accurate input of clinical data (biopsy and surgery pathology reports) on to the National Breast Screening System (NBSS). This will include interpreting complex pathology reports.
* To obtain pathology reports for patients referred by the screening service to NBT Southmead Hospital, the RUH Bath and Weston General Hospital. Interpret these reports and input the information on to NBSS.
* Book surgical appointments for patients referred to NBT Southmead Hospital, Weston General Hospital and the RUH, Bath.
* Reserve Streams for ABS appointments at NBT (withdrawing appointment slots).
* Identify patients with an interval cancer (cancer diagnosed between 3 yearly routine screening) using outcomes from weekly multidisciplinary team meetings Southmead & RUH patients). Print reports from pathology system (ICE) or request from other hospitals. Submit paperwork to PACS to prepare imaging and then to Consultant Radiologist for review. Once reviewed by Consultant send required paperwork to NHS England Breast Screening Quality Assurance team for national recording.
* Interval cancers data entry– enter information from classification form, plus pathology data on to NBSS.
* Deal with any ad hoc queries from NHS England Breast Screening Quality Assurance team regarding Interval cancer data. Investigate and resolve any queries.
* Run monthly Cancer Register Interval Cancer Extract Report in NBSS to identify Interval cancer women and double check all details are recorded in NBSS if not action.
* Manage the flow of complex patient information for the weekly MDT meetings. This includes collating the MDT list, adding every patient on to Cancer Register (telephone results patients and referral patients): sending provisional and final list to MDT co-ordinators, prepare paperwork (assessment sheet, mammogram sheet, registrations sheet, pathology report) for telephone results section and stereo core section. Tertiary referral form generated by Cancer Register email to MDT Co-ordinator and attach to NBSS record. This is all carried out within very tight timescales with very strict deadlines.
* MDT - inputting outcome information on to the Cancer Register, liaising with Cancer Services and tracking patients referred to NBT Southmead Hospital, The RUH Bath and Weston General Hospital to obtain this information.
* Managing the flow of complex patient information post weekly MDT. For NBT patients: update Cancer Register with diagnosis communication date and diagnosis information and pathology information. Update Tracking Note until first surgery. Update NBSS with any additional information including pathology. Input symptomatic stereocore biopsy data on to audit spreadsheet. For RUH: Update RUH Tracking Note, updating treatment information.
* Supporting the annual national NHSE audit process (KC62) by ensuring that all pathology data is entered on to NBSS in a timely manner, often working to very tight deadlines. This is the management and data entry of over 1000 pathology reports. Work with Programme Manager on running annual KC62 and resolving and rectifying any data queries.
* Obtaining and inputting research trial data for all trials that the breast screening programme is taking part in. Being responsible for running any reports associated with these trials and dealing with ad-hoc queries from principal investigators.
* Resolving ad hoc data queries from members of the team for example closing client episodes on NBSS.
* Producing statistical reports as requested for members of the team and also external colleagues for example Film Reading numbers report, BSF reports.
* Supporting the Programme Manager with the running and compilation of fortnightly statistical reports required for the NHSE Breast Screening Quality Assurance regional team to monitor the performance of the breast screening programme. Resolving any exceptions queries.
* Audit of clients who have had a benign assessment, ensure all data, including assessment details and pathology, entered on to NBSS and episode closed correctly. Update with any incomplete information and fill out audit form to confirm all entered.
* Responsible for auditing of patients who have been referred for a symptomatic service (e.g. surgery, 5 year mammographic follow up), ensure all data, including assessment details and pathology, entered on to NBSS. Update with any incomplete information and fill out audit form to confirm all entered.
* Responsibility for Specimen Audit: Entering biopsy and Fine Needle Aspiration data.
* Take part in regular audits of data entry with Programme Manager.
* Supporting the annual British Association of Surgeons Audit (BASO), working with Programme Manager to investigate and resolving queries from NHSE and ensure all data is accurate.
* Supporting the annual BQA (Biopsy Quality Assurance) Audit, working with Programme Manager and lead pathologist, investigating and resolving biopsy pathology queries from NHSE and ensuring all data is accurate.
* Monitoring patient pathway for women who have been identified as requiring an Early Recall for routine breast screening, ensuring NBSS updated and running monthly report to alert Office Manager to book appointments.
General:
* Filing, including organising off-site storage.
* Managing paperwork for clients having wire procedure. List emailed from Waiting List Co-ordinator.
* Dealing with ad hoc queries from Breast Care Nurses, Radiologist, Office Manager and Programme Manager.
* Assisting colleagues with requests for NHS numbers for example for symptomatic core biopsy patients.
* Ad hoc requests to close episodes on NBSS.
* To assist all personnel in the smooth running of the service.
* To prioritise workload to ensure that all deadlines are met. Deadlines are often very tight.
* To work with limited supervision.
* To undertake other duties as required by departmental managers.
* To undertake additional training as required maintaining knowledge and expertise when new software releases are implemented in NBSS.
* To provide general admin cover in the office if requested, including answering call centre phones and dealing with appointment bookings/queries.
