THE ROLE: The scope of the role As an Event Planning Executive you will be part of a fun, highly driven Events team working closely with all departments across the Resort. From the minute your Sales colleague hands over the signed contract your primary focus will be to provide exceptional customer service working in partnership with our clients and your Cameron Clan colleagues to produce a 5 star memorable event. Event Planning Executive Under the guidance of the Director of Events, you will be responsible for working within the Conference & Events Sales team to provide exceptional service, maintain high standards, maximise client satisfaction and hotel profitability whilst being compliant with local and corporate standard operating procedures. The key responsibilities of the position will be: Ensuring complete understanding of the handover of event from signed contract stage to ensure exceptional event delivery. Updating and issuing amended contracts as required during the planning stage and ensuring all billing processes and final payments Identify needs and provide solutions to match them. Ensuring adherence to Site Inspection policies and that VIP site inspections are conducted where applicable Maintaining effective and appropriate liaison with clients throughout the planning process, coordinating and conducting planning site inspections and menu tastings where appropriate and at a time convenient to the client Providing innovative set-ups and functions for groups and propose ideas to improve services and event quality Maximising upselling opportunities of all departments within the resort Working closely with M&E Operations Maintaining client accounts and booking/planning processes in Delphi FDC, Resort Suite and other systems Generate detailed Function Sheets for the operating departments ensuring adherence to completion and distribution timelines. Liaising with each department ensuring a high level of internal communication Attending daily & weekly group & events meetings and other meetings Meet and greet clients on event days Working with 3 rd party suppliers Feedback follow up Exhibitions, trade shows, open days and sales blitzes WHO WE ARE LOOKING FOR: We recruit people with widely varying personalities from different walks of life and backgrounds.
