Purpose of the role
The Operations Coordinator will provide critical support across a wide range of functions, including administrative duties, facilities management, supporting with IT resolution and health and safety tasks. The role is essential in ensuring smooth daily operations, supervising cleaners, supporting the Operations Manager, and maintaining supplies and systems in line with organisational procedures.
Principal duties
Administrative Support
* Assist with general administration such as welcoming contractors, handling supplier interactions, managing paperwork and postage.
* Organise and maintain the charity’s inventory list, ensuring all items are up to date and in stock.
* Support with systems and data entry.
Facilities & Supplies Management
* Support with ordering and managing supplies within the budget set by the Operations Manager.
* Organise waste disposal and ensure environmental compliance in waste management.
* Supporting with arranging repairs and maintenance for all Capella buildings.
* Support with Environmental Health Officer (EHO) standards.
* Support the Operations Manager to ensure that the Teens+ centres/buildings are maintained, safe and tidy.
* Line management of the caretaker and cleaners, including regular 1-2-1 meetings and an annual performance appraisal.
IT Support
* Liaising with Capella’s IT provider to support with day-to-day technical issues for staff.
* Update and maintain the CRM and other business systems as required.
* Work collaboratively with IT teams to ensure more complex technical issues are resolved promptly.
Health & Safety Compliance
* Support with conducting regular health and safety tasks, including COSHH (Control of Substances Hazardous to Health) assessments, risk assessments, and fire safety checks.
* Organise regular maintenance and inspections such as Portable Appliance Testing (PAT), gas safety checks and annual servicing.
* Assist in implementing and maintaining health and safety protocols across all Capella buildings.
Key Metrics
Feedback scores from the Operations Manager, Centre Managers and other staff, Operating Costs v Budget, Employee retention and engagement within the department.

Skills & Qualifications
* Previous experience in an administrative or operations role desirable.
* Good understanding of IT systems and experience supporting IT issues.
* Knowledge of Health & Safety procedures, including COSHH, PAT testing, and risk assessments.
* Strong organisational and multitasking skills with attention to detail.
* Excellent communication skills, both written and verbal.
* Ability to work independently and collaboratively as part of a team.
* Ability to drive (preferred).

Pay: £25,000.00-£28,000.00 per year
