Playing Tours Operations Coordinator

As part of the Playing Tours Operations team, you will work closely with the Playing Tours Operations Manager to successfully deliver playing tours bookings on behalf of our extensive school and club client base. You will work closely with our local ground handlers and our internal service providers (flights, accommodation, transportation) to successfully coordinate service requirements for your assigned tours, with the ultimate aim of providing an amazing touring experience for the most important people we work with – our customers!
No two days are the same in this exciting role but on a typical day you will:
* Be responsible for all aspects of assigned international Playing Tours bookings, after the point of sale including creation of bespoke itineraries, financial costings, and 3rd party liaison.
* Be fully aware of the year's tour schedule.
* Liaise with 3rd parties including in-country ground handlers to book all aspects of the playing tour including hotels, transportation, and excursions.
* Handle any last-minute changes to itineraries and communicate to the appropriate stakeholders both internally and externally.
* Update and maintain records in teams database and in-house booking/inventory management systems (Tourplan).
* Act as the main point of contact for suppliers and clients, building strong rapport and relationships to encourage repeat bookings.
* Provide exceptional customer service at all times, including interacting directly with customers and answering customer enquiries in a prompt and efficient manner.
* Handle budgets and financial duties for each of your allocated tours including raising invoices promptly.
* Create confirmation letters, invoices, correspondence, and travel itineraries for allocated bookings.
* Undertake regular worldwide travel as required for the purposes of familiarisation and/or operational event delivery.
* Ensure that the business complies with all School Travel Forum (STF) code of practice requirements.
* Any other duties that may reasonably be required in line with your main duties.
To be successful in this role, our ideal candidate will:
* Be a flexible and operationally focused individual with the ability to adapt to changing priorities.
* Have passion and experience in the travel industry, and in particular sports playing tours, would be highly advantageous, but it’s not essential.
* Demonstrate outstanding communication skills both written and verbal to a variety of key stakeholders at all levels.
* Have a real passion for delivering exceptional customer service and building effective relationships both within and outside of the business to help you achieve your aims and objectives.
* Demonstrate high levels of organisation and administration skills including the ability to multitask and create itineraries for multiple playing tours at one time.
* Be an individual who thrives in high-pressure situations and is able to use their own initiative to problem solve.
* Be a great team player, happy to ‘help out’ in other areas that will only grow your experience and opportunities.
* Have a strong working knowledge of systems and technology especially with Microsoft packages including Word, Excel, PowerPoint & Outlook.
* Have a willingness to embark on occasional domestic and international travel for work purposes including site visits and assisting the wider operations team.
