Executive Assistant About CoVar CoVar is a small AI/ML R&D software company in Durham, NC, that uses artificial intelligence to solve problems that matter. We develop AI/ML tools to help the DoD detect enemies and threats, and help biomedical researchers find new cures for diseases. We are passionate engineers, dedicated to pushing the bounds of what AI/ML can do in the real world. About this position You will be the principal aide to the CEO. You will support the executive team and the rest of the office through a multitude of tasks, ranging from purchasing to hosting events, to coming up with solutions as problems arise. Below are some examples of the kinds of tasks you may be asked to do. Please note that this is not an exhaustive list. Administrative Support: Manage executive calendars, schedule appointments, and prioritize meetings. Screen calls, emails, and other correspondence on behalf of the CEO. Prepare reports, presentations, and meeting agendas as needed. Anticipate the needs of the CEO and provide confidential support while displaying good judgment and discretion; an ability to be independent in daily work is key to the success of the Executive Assistant. Operational Assistance: Help coordinate and manage company events, meetings, and travel arrangements. Provide basic project management support, ensuring tasks are completed on time for the CEO. Communication: Act as the liaison between the CEO, internal team members, and external organizations. Follow up on pending meetings and events to ensure deadlines are met. Partake in daily morning meetings to help coordinate and assist the CEO with ongoing tasks and responsibilities Qualifications Applicants should have experience working in a dynamic environment that requires superb organizational and time management skills. They should be excellent communicators and be skilled multi-taskers. At least two years of previous experience in an office management or executive assistant role is preferred.
