To support that commitment, we are looking for a confident, professional and pro-active Administration Lead to join our Therapeutic Hub. The primary purpose of this role is to support the Hub team, leading on administration and coordination of the service to enable them to deliver a professional and consistent service to the young people and staff they support. Working as our administrator you will be involved in a range of exciting and rewarding things like: Keeping everyone organised - To oversee the day to day running of The Hub office completing general administration duties, creating a warm and welcoming atmosphere, managing petty cash, ordering equipment and providing site management ensuring that all staff and visitors of the Hub service are welcomed, supported and managed appropriately at all times. Demonstrating fantastic attention to detail - To support the Head of Therapeutic Sevices with PA duties such as diary and meeting coordination, team administration, production and circulation of agendas and relevant papers, inbox management and accurate minute taking and distribution. Supporting with referrals and coordination - To administrate the scheduling, monitoring and review dates of The Hub referral, assessment and therapeutic work processes and ongoing monitoring of The Hub spreadsheet covering all children and young people including admissions, discharges and placement changes using in-house Excel trackers. Using your great communication skills – To participate in Hub weekly clinical meetings and monthly operational meetings, working with Hub colleagues to ensure frequent review and improvements of administrative support systems providing ongoing development and improvement. Compliance is key – To co-ordinate the collection of routine outcome measure data via various internal systems and record accurately via Excel enabling analysis of this data that informs the feedback to The Board of Directors and ongoing clinical decision making ensuring ongoing quality improvement and development. Working as part of an amazing team - To provide general administrative support to The Hub clinical and therapeutic staff team through proofing and formatting of clinical documents, taking minutes in professional meetings and meeting room management to ensure colleagues are able to work to the best of their abilities and are supported accordingly. To have a good standard of general IT skills and experience of using Microsoft 365. (Including Word, Teams, Excel, PowerPoint & SharePoint) Desirable To hold or be currently working towards a minimum of a Level 3 NVQ in administration or a related subject. To have previous administration experience within a clinical setting. This role is recruited into on a 25 hour per week basis working Monday to Friday, working pattern can be discussed. Successful candidates will be required to provide an enhanced Disclosure (DBS). This disclosure cost will be met by Fair Ways.
