Job Title: Assistant Production Manager
Location: Head Office - London; Event Site – Various; Filming locations - Various
Reporting to: Head of Production
Duration: Full Time
Job Purpose:
The Assistant Production Manager supports the Production Manager in delivering the creative vision set by the Art Director and Theatrical Show Director. Reporting to the Production Manager, this role focuses on coordinating logistics, managing schedules, and overseeing on-site operations to ensure the seamless execution of set builds, installations, maintenance, and dismantling.
Key Responsibilities:
Pre-Event Planning and Coordination:
· Assist the Production Manager in developing production schedules, timelines, and budgets.
· Liaise with suppliers, fabricators, and contractors to coordinate materials and resources.
· Conduct research to source vendors, materials, and services that align with the creative brief and budget.
· Attend site visits to assist in assessing logistical and technical requirements.
· Maintain detailed documentation, including production plans, risk assessments, and supplier agreements.
On-Site Build and Installation:
· Support the Production Manager in supervising on-site teams, including contractors, technicians, and riggers.
· Monitor progress during set builds and installations, ensuring tasks are completed on time and to the required standard.
· Troubleshoot logistical and technical issues, escalating complex problems to the Production Manager as needed.
· Assist with compliance checks to ensure health and safety regulations are met during on-site operations.
Event Maintenance and Support:
· Work closely with the maintenance team to ensure they are properly briefed and resourced for the event.
· Act as a point of contact during the event to address minor maintenance or operational issues.
· Provide logistical support for the Production Manager, Art Director, and Theatrical Show Director as required.
Dismantling and Post-Event Operations:
· Assist in coordinating the dismantling and removal of sets and installations.
· Help manage inventory and storage of reusable set elements and materials.
· Support the post-event debrief process, compiling feedback and lessons learned.
Essential Skills and Qualifications:
· Experience in production or project coordination within live events, theatre, or immersive experiences.
· Strong organizational skills with the ability to multitask and manage competing priorities.
· Excellent communication skills, both verbal and written, for liaising with suppliers, contractors, and teams.
· Basic knowledge of set construction, fabrication techniques, and materials.
· Familiarity with health and safety regulations in the events or production industry.
· Proficiency in productivity tools (e.g., Microsoft Office, Google Workspace) and production software (e.g., CAD, Smartsheet, or similar).
Desirable Skills:
· Hands-on experience in event or theatrical production environments.
· Knowledge of sustainable production practices.
· Certification in health and safety (e.g., NEBOSH, IOSH).
· Familiarity with technical equipment, such as rigging and lighting systems.

· This position requires working on live events/film sets, which may involve long hours, evenings, weekends, and irregular hours.
· The job may also involve travel to different live event or shooting locations.
