About the role Reporting to the Head of Investigations, the Investigations Team Administrator plays a vital role in supporting the Investigations team's daily operations. This involves managing various administrative and coordination tasks to ensure investigations are conducted efficiently and effectively. Key responsibilities include logging new cases, maintaining correspondence with stakeholders, scheduling Malpractice Committees, preparing evidence packs, monitoring team performance, and tracking expenses. Location: This is a hybrid role, however travel to your local office may be occasional. Candidates have the ability to work from either our London, Manchester or Hellaby offices and must live within a commutable distance. Key responsibilities - Reviewing and logging new cases need to be reviewed on Pearson systems and assigning them to relevant case officer for investigation. - Draft and send email/letter correspondence to informants ('whistle-blowers'), those of accused of malpractice, centres, regulators, funding agencies and other internal and external stakeholders as appropriate. - Maintain records and provide internal stakeholders with regular updates on individual and team performance against the established KPIs and SLAs. - Maintain records of expenditure for the team (overtime, expenses, travel costs, consultancy fees, etc) and provide regular reports to internal stakeholders. - Liaise with the pool of panel members to schedule external Malpractice Committees to determine the outcome of our most serious cases. - Work with the responsible investigator to compile evidence packs for investigations which are referred to Malpractice Committee for a final determination. The packs must be redacted in accordance with the Data Protection Act and Information Security requirements and then sent to affected parties with accompanying correspondence. - Assist the team in inviting stakeholders, booking rooms and refreshments, confirming agendas, etc. - Support the Investigations team by receiving and making telephone calls with informants ('whistle-blowers'), centres, regulators, funding agencies and other internal and external stakeholders as appropriate. - Provide administrative support to the Investigations team to help the ensure investigations are conducted in a timely, effective and compliant manner. - Assist the Head of Investigations and other stakeholders in monitoring the conduct of investigations. - Produce accurate, comprehensive data and information to stakeholders. - Communicate with internal and external stakeholders in a professional and accurate manner while providing great customer service. - Assist other teams in the Business Improvement and Regulation (BIR) division as and when necessary. What we are looking for: - Proven experience in an administrative role. - Demonstrated ability to compile evidence packs and legal bundles. - Proficient in researching and analysing data to derive informed conclusions. - Strong organizational skills, with the ability to manage multiple high-priority tasks efficiently. - Skilled in verbal and written communication with diverse external customers and stakeholders, including handling complex or sensitive matters. - Capable of delivering quality results under tight deadlines. - Familiarity with the education sector and its processes would be desirable but not essential.
