Summary
The HR Apprentice will be responsible for providing administrative support to the HR function and coordinating a number of specific HR and L&D processes on a day-to-day basis to ensure the smooth running of the HR function across various functions including recruitment, training & development, performance monitoring and general administration.

Work
As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.
What you’ll do at work
* Recruitment - You will be responsible for responding to speculative CV’s, updating the company SharePoint, website and notice boards of job vacancies and working with the HR Advisor on scheduling interviews and liaising with agencies and candidates.
* Absence Management – working with the HR Advisor, you will update and maintain absence records and ensure all paperwork relating to an employee’s absence is completed within a timely manner, and in time for payroll being processed.
* Employee lifecycle – arranging new starter inductions, sending new starter surveys, supporting the HR team with general administration of data in respect of employee lifecycle.
* Occupational Health – arranging health surveillance appointments in accordance with EHS requirements and managing Occupational Therapist diary.
* Ensuring all data is captured and updated accordingly to assist in the collating and producing monthly and ad hoc reports for HR management.
* Agency Workers – onboarding and offboarding agency workers and maintaining internal trackers. Ensuring we have the relevant onboarding documents for agency workers and maintaining internal records.
* Supporting with L&D activities with booking relevant training courses and maintaining internal trackers and employee records.
* Completing work and financial reference requests for both new and former employees.
* Deal with internal and external customers in a professional and courteous manner
* Update and maintain employee records both manual and electronic on a daily basis
* Assist the HR team with various special projects as and when required
* Assist the HR team with ED&I initiatives by supporting when required with the Diversity and Wellbeing Calendar.
* General administrative tasks – sending out employee letters, processing of POs in Oracle, diary management, chasing paperwork and other miscellaneous tasks.
* Dealing with correspondence to ensure accuracy of information, compliance with Data Protection and Employee Relations Acts and all other relevant legislation relating to terms of employment

Course contents
* Service Delivery: Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice and support primarily to managers. Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate. Uses agreed systems and processes to deliver service to customers. Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards. Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
* Problem Solving: Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions. Takes ownership through to resolution, escalating complex situations as appropriate.
* Communication & Interpersonal: Deals effectively with customers/colleagues, using sound interpersonal skills and communicating well through a range of media eg phone, face to face, email, internet. Adapts their style to their audience. Builds trust and sound relationships with customers. Handles conflict and sensitive HR situations professionally and confidentially.
* Teamwork: Consistently supports colleagues /collaborates within the team and HR to achieve results. Builds/maintains strong working relationships with others in the team and across HR where necessary.
* Process Improvement: Identifies opportunities to improve HR performance and service; acts on them within the authority of their role. Supports implementation of HR changes/projects with the business.
* Managing HR Information: Maintains required HR records as part of services delivered. Prepares reports and management information from HR data, with interpretation as required.
* Personal Development: Keeps up to date with business changes and HR legal/policy/process changes relevant to their role. Seeks feedback and acts on it to improve their performance and overall capability.
