We are currently recruiting for an HR Administrator to be based in Surrey, United Kingdom, for a 12-month contract with the possibility of extension.

Job Description:
* We are seeking an experienced administrator with knowledge of HR processes to perform the following activities:
* Prepare Contracts of Employment for new employees and Exhibit A for agency workers in line with the New Starters procedure.
* Organize all new starter paperwork, files, and arrangements before their first day, including room bookings and notifications to relevant departments.
* Arrange pre-employment medicals and reference checks for new hires.
* Conduct maternity risk assessments with employees and agency workers as needed, liaising with HR Advisors/HSE for follow-up actions.
* Ensure timely electronic and paper filing of all staff and agency-related emails and documents.
* Follow proper procedures when terminating staff and agency workers, updating records and notifying relevant departments.
* Prepare amendments to contracts and update records accordingly.
* Update agency worker contractual details and ensure files and trackers reflect these changes.
* Notify payroll of all relevant employment changes monthly.
* Maintain and update starters and leavers listings weekly.
* Manage paperwork related to staff probation periods.
* Maintain compliance with departmental procedures for record-keeping.
* Maintain weekly lists of agency workers.
* Prepare assignment agreements and salary review letters for assignees from other Saipem offices, including extensions.
* Assist with housing rental agreements, deposits, fees, and inform Finance and Payroll of payments.
* Support assignees in settling into a new country and log arrivals in the “Inpatriate” tracker.
* Prepare assignment agreements for Saipem Ltd staff working at other offices and update related trackers.
* Provide references for bank, mortgage, and property inquiries as needed.
* Raise finance memos and work orders on SAP for HR invoices and support Purchase Orders and Frame Agreements processes.
* Manage processes related to Company Benefit Schemes.
* Reconcile annual leave balances and issue new forms at year-end.
* Send company communications via the HR London inbox and respond to queries promptly.
* Perform additional duties as appropriate for the HR Administrator role.
* Stay informed about Saipem’s current requirements and relevant industry standards and regulations.
