Our client, based in Caldicot, is currently recruiting for an Office Junior/Trainee Secretary.
Role Description - Office Junior
The Office Junior will undertake a number of general office administration and reception duties. Working closely with the Receptionist and Secretaries to help maintain a smooth and efficient office. The ideal candidate will be proactive in their work and shows high interest and engagement in all tasks delegated to them by colleagues. They will be a quick learner and be interested in gaining valuable experience which enables them to development further within the firm.
This role will normally perform the following tasks:
General office administration
Opening, sorting and date stamping incoming mail
Distributing mail after being checked by the office administrator.
Clearing the office mail trays and taking to reception for posting.
Deliveries during the day to other staff, companies, etc as required
Photocopying, scanning and binding as required
Collation of materials for colleagues including making up ring binders
Collating and barcoding files for archiving
Any other duties as requested from time to time
Supplies
Checking, stocktaking and ordering stationery
Checking and stocktaking kitchen supplies including milk, tea, coffee etc
Topping up printers and photocopiers with paper throughout the day
Ordering toners and cartridges for printers and photocopiers
Key Person Specifications - Knowledge & Experience
Requires a good level of education
Basic keyboard skills, knowledge of Microsoft software including Word preferred
Has knowledge or experience with the use of simple office equipment or machines
Ability to manage time effectively and to prioritise workloads effectively
Excellent telephone skills and the ability to respond positively and effectively to staff.
Competent in taking and forwarding messages accurately and promptly

Hours - Ideally Full time, Monday - Friday 9.00 - 17.00, but part time within these hours would be considered for the right candidate.
