Title: Team Assistant
Reports to: Senior HR Business Partner
Location: London, UK
This role is required to be in office Monday - Thursday. Fridays can be worked from home.
Key purpose of role:
To provide general support to the team with administrative and operational tasks and being the ‘go to’ person to help with queries and problems.
Key accountabilities
Administrative Support:
* Manage complex calendars, including scheduling meetings and appointments across multiple time zones.
* Coordinate travel arrangements (flights, accommodation, visas) and prepare detailed itineraries for CEO and C-Suite leaders
* Handle expense reporting, ensuring timely and accurate submission.
Operational support:
* Go-to-Market support: invoicing, chasing client contracts, events admin/coordination
* Help teams with ad-hoc, short-term processes when needed e.g. year-end tasks
Office management:
* Provide timely and efficient support to the UK-office and liaising with the property company to ensure office is well-managed, tidy and fit-for-purpose for the team
* Flexible problem solver for issues which may arise (e.g. printing key documents, meeting with clients or guests etc.)
* Liaise with our IT provider to ensure company and employee IT needs are met
* Administration tasks such as filing, photocopying, scanning, printing, post and couriers
* Coordinate key meetings involving larger groups of people e.g. Board
* Coordinate catering and assist with event preparation and hospitality
* Organise social events and team building activities to build office culture
* Help assist new joiners with their induction and schedules
Candidate profile
Background and experience:
* 3+ years working in Team Assistant roles ideally in fast-paced technology-led organisations
* Experience working with senior leadership teams
* Experience within ambitious start-up or small company where challenges can vary day-to-day
* Experience of working with third party providers
* Good communications skills, both verbal and written
* Proficient in MS Office and Google Workspace
