We’re looking for a Building Manager to take charge of the Sherard Building at Oxford Science Park, ensuring it runs smoothly, efficiently, and to the highest standards. As the first point of contact at the building’s front desk, you will play a key role in day-to-day facilities management while also providing professional reception support, ensuring a welcoming and well-managed environment for all occupants. Reporting to the Senior Facilities Manager, you'll handle day-to-day building operations, service charge budgeting, tenant applications, and compliance, all while delivering a first-class experience for clients and tenants alike. This is a site-based role with significant exposure to tenants, clients, and internal teams. While some lone-working is involved, you’ll have full support from the wider Facilities Management team. Occasionally, you may need to handle calls or queries outside core hours. Hours of work are Monday-Friday 9:00am-5:00pm with 1 hour for lunch – a total of 35 hours per week. What you’ll be doing: Service Charge Management Ensuring service charge budgets are prepared and reconciled within agreed timescales, adhering to RICS guidelines. Monitoring expenditure closely to prevent funding shortfalls and maintain financial efficiency. Contract & Works Management Overseeing contractor performance, ensuring contract obligations are met and re-tendering when necessary. Supervising small works projects, verifying invoices and ensuring compliance with internal sign-off procedures. Tenant & Stakeholder Communication Acting as the primary contact for tenants, addressing lease compliance issues and general management matters. Arranging and attending tenant meetings, maintaining strong relationships through regular correspondence. Keeping the Property Manager and Client updated on key developments and management issues. Property Management & Compliance Conducting regular property inspections, documenting findings and addressing any necessary actions. Monitoring and managing tenant debtors, ensuring timely resolution of outstanding payments. Reviewing and processing tenant alteration applications, assisting with other property management tasks as required. Maintaining accurate records across property management, health & safety, and compliance databases. Ensuring full compliance with statutory regulations and Bidwells' internal procedures, including health & safety risk management. Reception/FOH Duties Providing front-of-house services such as meeting and greeting clients and staff from other offices. Providing telephony service, taking messages and transferring calls. Ensuring the in-house services are provided to a high standard at all times - making sure any enquiries are dealt with promptly and effectively. Servicing meeting rooms ensuring refreshments are topped up and the space looks presentable at all times. General service-related admin tasks. About You: Proven experience in Facilities Management or Property Management, ideally within a laboratory environment. Strong background in service charge budgeting and accounting within a property or FM setting. Experience in contractor management, compliance oversight, and supplier supervision. Knowledge of health & safety regulations and compliance procedures. Proficiency in Microsoft Office (Excel, Word, Outlook) and property management software such as Propman (or similar). Excellent written and verbal communication skills, with strong attention to detail. A team player with a proactive and positive approach. An understanding of commercial leases and the landlord/tenant relationship, along with professional qualifications such as MBIPM, DipFM, MRICS, AssocRICS, NEBOSH & IOSH are desirable, however not essential.
