You can read more on InnovateHer here: https://www.innovateher.co.uk/ Mission – Reporting to the Facilities Manager, to provide operational and administration support within the Facilities department at the Clevedon Product Company and satellite sites, to ensure that all sites are fully maintained and functional for all stakeholders and users. To provide information and direct support to enable the Facilities Manager to provide informative direction and leadership to the Clevedon site management team regarding site matters. To co-ordinate the effective delivery of work activities of the FM team and provide a focal point of contact for all common services delivered to end users (staff) and external visitors including contractors. Main Responsibilities - General Overview Coordination of PPM portfolios and reporting Corodination of soft service partners & contractors inclusive of Cleaning, Catering, Security, Waste, etc. Maintain department compliance records in line with the requirements of ISO 45001, ISO 14001 and local procedures. Liaise and coordinate external suppliers and contractors in the delivery of planned works, (Soft Services). Control permit to work procedures, review and agree the Risk assessments and method statements (RAMS) of all works undertaken by contractors Ensure works are completed and carried out to a high standard for sign off and record keeping following company procedures Liaise and coordinate works to in-house and contracted maintenance team as required Office Management duties inclusive of digital receptionist responsibilities Facilities Services Use and control of Planet FM (Ultimo), Call logging and work order management system. Prioritising incoming maintenance requests related to soft services and assign to external contractors or internal resource as required. Providing regular reports on service delivery to Facilities Manager Tracking, updating and management of work orders due and overdue. Checking completion of work order. Provide customer feedback on work order updates, progression etc. Control of contractors to site, work permits, reports, keeping database up to date. Requesting quotations for goods/services and supporting compliance documentation to include company insurances, RAMs, SSOWs, PTWs. Customer Service (external and internal)/ PlanetFM (Ultimo) relating to soft services Be the initial point of contact for all site personnel with queries regarding site soft services. Be first point of contact for all site personnel who wish to report a service or equipment issue, using Planet FM (Ultimo) Call logging and works order management system as a planning tool. Determine priority of service /equipment issue, log onto PlanetFM (Ultimo) system and allocate to maintenance team. Experience & Skills Education: A degree in Facility Management or Business Administration is preferred. Working towards the IWFM Level 3 award in Facilities Management is also a recognized qualification that can be suitable for those starting out in the field. Computer literate with a high level of skill in the use of the relevant software packages – O365, Outlook, Word, Excel, PowerPoint, etc. Significant demonstrable knowledge of using bespoke web-based computer systems Previous experience of use of works order management system essential Strong attention to detail is essential as is the ability to grasp, obtain and analyse detailed information Understanding of end-to-end workflow processes Information and data capture/ entry / administration of information held within multiple systems General understanding of the maintenance of the built environment commercial/industrial as it relates to maintenance, compliance and, soft services - cleaning, catering, etc. Knowledge of Health & Safety legislation relating to the built environment e.g. Risk Assessments, method statements, SSOWs, PTWs, COSHH etc Experience of working with Contractors and small-scale project works.
