Due to a growing number of clients and two new venues to manage, we are offering the opportunity for a motivated and results-driven Events Coordinator to join our team. You will play a pivotal role in this exciting period of growth as we expand throughout Surrey, Kent, Sussex, and beyond. You will manage all aspects of event coordination, including liaising with clients, managing supplier relationships, and overseeing event logistics. The role can at times involve long hours and occasionally stressful situations, especially when dealing with clients. Assist in planning and coordinating the end-to-end delivery of events, including inputting to project management planning. Manage supplier procurement processes, ensuring the selection of high-quality vendors and negotiating contracts. Collaborate with internal teams to ensure all logistical aspects of events are well-organised and executed efficiently. Support in preparing accurate and efficient event communications and marketing material. Manage event budgets, monitoring income and expenditure to ensure events are delivered within budget. Work with the team to identify and mitigate potential risks associated with events, conducting risk assessments and developing contingency plans. Work together to make sure all events comply with relevant laws, regulations, and organisational policies. Assist in obtaining necessary permits and licenses for events as required. Carry out event debriefs, recommending improvements based on learnings after each event. Contribute to the production of accurate reports to monitor and analyse event success. Support the integration and collaboration of communications planning and execution across all teams. Flexibility to deliver events, including evenings and weekends, and travel as required. The attributes and skills we think you’ll need: 2 years of experience in event planning and coordination. Proven experience in planning and delivering successful events. Strong organisational skills and attention to detail. Experience working with clients, guests and suppliers. Self-motivated, proactive, and creative with the drive to make a difference. Ability to work collaboratively across multiple teams. Ability to work collaboratively as part of a team and take initiative independently. Excellent written and verbal communication skills. Excellent use of MS Office and CRM tools (we use monday.com). Design skills (Canva, InDesign or Photoshop) would be a bonus. A valid driver's license and access to reliable transportation may be required.
