Description Salary: Base salary: £36,000pa to c.£42,350pa depending on skills and experience. As a Assistant Facilities Manager at HS2 you be deliver a range of Facilities services in line with contractual commitments and correct security and confidentiality agreements, to ensure that the HS2 offices, across London are always fully operational and set up to a high standard. About the role: Participate in the design, development and implementation of Facilities processes and procedures in line with current Heath, Safety, Security and Environmental (HSSE) requirements Manage and produce analysis of Facilities activities and related HSSE activities, including taking the lead on the completion of the Statutory Compliance tracker for London sites. Maintain management of key voluntary roles such as First Aider, Fire Warden and Evacuation chair operators to ensure compliance with legislation and regulatory requirements Act as point of contact for all London Facilities related expenditure. Provide management and analysis of all Facilities expenditure, including supplier set up, raising of PO’s and receipting, management of purchasing card, monthly financial accounting and preparation of monthly accruals, as instructed by Head of Estates and Facilities Managers. Provide cover for absence for London Facilities Manager and Birmingham Assistant Facilities Manager Support the Facilities Manager in the administration of team workload and roster planning. Support the Facilities Manager to manage the outsourced Facilities Management provider and other key Facilities suppliers Lead with the Birmingham Assistant Facilities Manager on the management of the meeting room booking system Provide project management support when required for projects such as office moves, relocations and restacks, including working out of hours to deliver projects. About You: Skills: Ability to prioritise a wide range of deliverables and deadlines Ability to manage change in a matrix structure outside of line management Project management skills, including the ability to design small to mid-sized projects Ability to create and review facilities processes and procedures (including giving consideration to processes elsewhere within the business) including interface with other key support team processes (e.g. IT, HRSS etc) Ability to deal confidently with staff, contractors and visitors on a wide range of Facilities issues Customer service skills with the ability to prioritise a wide range of conflicting pressures Ability to create, populate and interrogate raw data to make informed decisions for review with the management team Knowledge: Knowledge of operational Facilities Management including Membership of Institute of Workplace Facilities Management (IWFM) or equivalent experience Knowledge of Procurement and contract management methodology, including experience of NEC3 contracts Knowledge of Facilities budgets, Accounts payable processes and financial planning, including accruals Knowledge of Health and Safety legislation as applicable to the built environment NEBOSH General Certificate preferred but IOSH Managing Safely may be considered Type of experience: Experience of providing Facilities Services in a corporate environment, including management of an outsourced FM provider Experience of set up, design and delivery of accommodation projects, including office moves.
