The administrator will provide diary and expense management support to the Chief Technology Officer, Group Sales, Marketing & Comm’s (SM&C) Director, and the Group Design Director. In addition, the post-holder will provide support in processing invoices, filing contracts, taking minutes, and organising team events for the Technology, SM&C, and Design teams. Key Responsibilities / Deliverables: Effective Diary Management, including scheduling appointments with sufficient time between them and ensuring any diary clashes are avoided Arrange 1:1 sessions and meetings with other employees and stakeholders (e.g. direct reports/executive members/directors, as required Book travel as required for all meetings/conferences/training events; including flights, taxis and airport parking and hotel accommodation Minute taking Responsible for refreshments/catering for meetings and visitors Completion of expense claims and approval of expenses/cash claims Invoice coding and support on related Finance control administration Support the Head of Technology Delivery in the preparation and updating of key status material Support the travel arrangements of a team of regional Finance Directors, including expense administration Collaborate with Executive Assistants to coordinate travel arrangements for board meetings and leadership events. About You As a department administrator, you will be highly organised, proactive, self-motivated and confident in using your own initiative while also being able to take direction. You will have excellent administration skills and with meticulous attention to detail, as well as excellent interpersonal skills and be able to evidence experience in a similar role. The nature of the role requires the post-holder to have a high standard of verbal and written communication skills, and the ability to be exceptionally discreet and tactful, always maintaining the highest levels of confidentiality. You will empathise with our purpose and be willing to go above and beyond, when required. Knowledge, Skills and Abilities Understanding of the role of an administrator and what is expected with proven experience in a similar role High level of proficiency in various computer packages including MS Office Products - Word, Outlook, PowerPoint and Excel is essential Ability to prioritise workload and multi-task. Ability to work well under pressure or tight timelines. Ability to treat confidential information with absolute discretion.
