Be part of an innovative academic setting at a leading institution.Your Role at a GlanceAs Executive PA / Administrator, you will be the go-to person for ensuring the smooth day-to-day running of the Institute. Your key responsibilities will include:
Executive & Operational Support:
Providing high-level PA support to the Institute Director, including managing their diary and schedule with precision and efficiency.
Coordinating complex travel arrangements and travel itineraries.
Organising meetings, events, and engagements, ensuring seamless execution.
Handling queries in a shared inbox and signposting appropriately.
Providing guidance and support to colleagues on operational matters.
Maintaining accurate records and data in line with data protection regulations.
Assisting with staff recruitment and liaising with HR.Building & Estates Support:
Acting as the first point of contact for building-related queries.
Coordinating office moves and managing space occupancy records.
Managing building access for staff and visitors.
Supporting IT and Health & Safety requirements where needed.Finance & Procurement:
Managing purchase orders, invoices, and financial transactions.
Assisting with budget management for events and activities.
Procuring IT equipment, software, and office supplies.Who We’re Looking ForWe’re seeking an individual with:
Proven experience as an Executive PA or in a similar high-level administrative role.
Ability to manage complex schedules, coordinate travel, and plan events.
Strong financial administration and procurement skills.
Excellent organisational and problem-solving abilities.
A proactive approach, with the ability to work independently and as part of a team.
Great communication skills, able to liaise effectively with a range of stakeholders.

Working Week: Monday to Friday
Working Hours: 8.00 – 4.00 or 9.00 – 5.00 pm (1 hour for lunch/no overtime - 35 hours)
Duration: 3 Months - Temp to Perm
