Job overview
The post holder will be responsible for carrying out administrative tasks that facilitate the smooth running of the PE department.
* Working with the Director of Sport (DOS) and with PE staff to assist with the administration of the curricular and extra-curricular programme
* Booking coaches for away fixtures and other events and booking school vehicles, as required
* Inputting / updating & exporting data on school systems for the maintenance of student or other records in addition to generating reports as required
* Assisting with the organisation of 6th form games, including booking external facilities
* Updating risk assessment documents on a regular / annual basis for trips and fixtures
* Working with PE staff to carry out administrative tasks related to sports events & competition entries
* Liaising with the Facilities Manager to ensure that PE equipment is regularly inspected
* Booking refreshments for home fixtures or PE events
* Maintenance and ordering of supplies & replacement PE equipment after discussion with DOS. Researching best price and quality, completing orders and liaising with the Finance office for approvals to purchase.
* Assisting in the running of after school clubs and ensuring that registers are updated regularly or as required
* Maintenance of notice boards including team information, results and other information as required
* Providing information for school website to include results, match reports and any publicity opportunities for social media, as required
* Managing administration for school trips in the UK or abroad
* Ensuring the fitness suite is kept tidy and equipment regularly inspected to maintain a safe environment
* Carrying out termly stock checks.
* Attending department meetings and taking minutes
* Liaising with the Finance department to ensure that parents are billed for extra-curricular activities or school trips as required
* Communicating with parents & external agencies as required
* Liaising with the school office to send emails to parents and others as required
* Assisting with the organisation of special events e.g. Founders Day, end of term events, open days and open evenings
* Organising and managing and helping to run the annual senior school sports day event
* Liaising with the school’s nurses to ensure that all First aid kits are regularly stocked.
* Administering First Aid when required
* Carrying out general administrative duties including photocopying, printing, filing as required
* Supporting PE Dept staff with maintenance / changes of IT systems
* Assisting with extracurricular clubs where required.
* Helping to set up PE equipment for lessons and extra-curricular clubs as directed
* Washing, organising and maintenance of kit, bibs and lost property
* Periodic tidying of stores
* Liaising and co-operating on a day to day basis, with all members of the PE department - Senior and Junior schools
