An exciting opportunity has arisen—we are looking for a passionate and dedicated Finance and Administrative Assistant to join our growing COYA family!
About the Role:
As a Finance and Administration Assistant, you will play a key role in supporting the financial and administrative operations across both COYA Mayfair and Angel Court. In this role, you’ll ensure smooth daily cash reconciliations, assist with financial reporting, manage business contracts, and work closely with multiple departments to maintain accurate records and efficient processes. You will also be expected to embody and actively promote COYA’s values—fun, family, passionate, innovative, and culture—in all aspects of your work.
Key Responsibilities:
1. Manage daily cashup reconciliations on EPOS systems and coordinate weekly cash collections across venues.
2. Scan and upload supplier invoices for external bookkeepers while ensuring timely departmental approvals.
3. Maintain accurate records of various business contracts, including IT and telephone support agreements with Intralan.
4. Assist in preparing monthly management accounts and financial reports, collaborating closely with external bookkeepers.
5. Support the Regional Financial Controller by reconciling corporate credit card expenses and intercompany accounts, and addressing audit queries.
6. Ensure weekly sales reporting is completed on time and resolve any EPOS system issues promptly, while also assisting HR with monthly payroll tasks such as processing sales commissions.
7. Contribute to sales forecasting efforts by assisting general managers with both weekly and monthly projections and presenting variance analyses.
8. Develop an understanding of balance sheet reconciliations to support the management accounts process.
9. Actively participate in meetings and training sessions, taking responsibility for finance and site-specific administrative duties in support of leadership teams.
10. Promote best practices, continuous process improvements, and personal development through training and cross-departmental support opportunities.
What we’re looking for:
1. Candidate that is fluent in English & Spanish.
2. A proactive individual with a strong background in finance, administration, or accounting—experience within the hospitality industry is a plus.
3. Excellent numerical, analytical, and organizational skills with meticulous attention to detail.
4. Proficiency in Microsoft Office and familiarity with financial or payroll systems.
5. Ability to manage multiple tasks and adapt to changing priorities in a fast-paced environment.
6. A collaborative mindset with integrity, discretion, and a commitment to delivering excellence.
7. Right to work in the UK (visa sponsorship is not available for this role).
