To work as part of a team providing comprehensive Administration support to corporate services. Working in conjunction with colleagues, service users and internal and external stakeholders.
The post holder will work under indirect supervision and will directly contribute to and co-ordinate the efficient running of the service.
To actively support the current Administration team and Management in certain tasks associated with a large workforce within the department of Housekeeping and Portering at Heartlands Hospital.
The hours of work will be 0800 - 1600 Thursdays and Fridays each week.
Main duties, tasks & skills required
* Liaise with staff and service users and external agencies to provide a point of contact for service users.
* Meet and greet visitors communicating in a courteous manner.
* Liaise with other departments / teams as appropriate.
* Deal effectively with complaints either face to face or on the telephone and escalate concerns where necessary.
* Escalate conflict situations where necessary.
* Accurately record telephone messages and other enquiries and refer as appropriate.
* Be sympathetic and sensitive to the requirements of staff and service users when communicating by telephone or face to face, including dealing with difficult situations, e.g. aggressive or demanding behaviour.
* Attend admin team / departmental meetings on a regular basis. Contribute to building effective teamwork in exchanging views, ideas and communicating effectively.
* Maintain confidentiality at all times adhering to Caldicott Guidelines and Data Protection Act.
* Undertake typing which may include touch typing from audio and/or copy typing from written documentation including letters, emails, reports, and any other correspondence as required.
* Create documents, spreadsheets, and reports as required using IT Systems.
* Use Trust systems to input electronic data as required.

Qualifications
Essential
* Basic education to GCSE/ O Level in Maths and English or post-Secondary Training Education in a relevant field.
* Course 232 in Electrical and Electronic Craft Studies, part 2 (232-2) OR
* Course 236 in Electrical Installation Works, Part 2 (236-2) OR
* An equivalent qualification such as NVQ Level 3 in a relevant electrical Engineering or Building services Engineering discipline OR
* BTEC/ONC in Electrical Engineering or Building Services Engineering.
* BS7671- 18th Edition Wiring Regulations.
Desirable
* Confined spaces working.
* IPAF Working at height.
* Training and experience in the lift release of entrapped passengers.
* 2391 Inspection & testing.
Experience
Essential
* Completion of a registered apprenticeship or structured training program in Electrical Engineering for a minimum of 3 years.
* At least 2 years post training, site experience having demonstrated high versatility and flexibility.
* Background in Electrical Engineering, equipment or Building services installation, alteration, maintenance, or fault finding.
* Adaptable to change.
* Capable of working to deadlines.
Desirable
* Previous experience of working in an acute Hospital environment or similar demanding role.
* Knowledge of electrical distributions, standby generation, and fire alarms.
Additional Criteria
Essential
* Available for undertaking overtime.
* Physically demanding role requiring manual handling of loads, extremes of temperature, and the ability to work at heights or in confined spaces.
* Appreciation of his/her own limitations.
