Role Overview
Formula Botanica is an established online school with a remote team of 30-35 staff, consisting of employees in the UK and contractors around the world. We are on a mission to teach the world to formulate their own organic skincare and haircare.
We’re seeking an experienced, organised, and approachable fractional HR Manager to be fully embedded within our organisation. The successful candidate will work closely with the senior leadership team to provide strategic, operational, and administrative HR support. They will ensure our people management processes comply with employment laws, foster a positive workplace culture where staff feel supported and valued, and manage key HR functions aligned with best practices and organisational goals. The Fractional HR Manager will also serve as an approachable and confident resource for both employees and managers.
This is a part-time role of 2 days per week, with a preference for these hours to be spread over 4-5 days.
Key Responsibilities
Employee engagement and workplace culture:
* Act as the first point of contact and a trusted adviser for HR issues, providing a sounding board for employees and managers, offering support on sensitive matters.
* Handle grievances, disciplinary issues and conflict resolution, stepping in confidently to address issues as and when they arise.
* Foster a positive and inclusive workplace culture through engagement initiatives and support.
* Regularly engage with employees to assess satisfaction, address concerns, and support morale.
* Maintain accurate employee records in our HR platforms (e.g., PeopleHR).
* Ensure job descriptions are up-to-date and reflective of roles.
* Draft and manage contracts, offer letters, and salary variations.
* Create, update, and maintain HR policies tailored to a remote workforce.
* Ensure all policies reflect the organisation’s values and comply with relevant laws.
* Communicate policies effectively to employees, ensuring they are accessible and understood.
Recruitment and onboarding:
* Manage end-to-end recruitment processes, from creating job descriptions to coordinating interviews, negotiating with recruitment agents, onboarding new hires and ensuring probation targets have been set and communicated.
* Develop strategies to attract top talent and streamline recruitment processes.
* Handle all administrative aspects of recruitment, ensuring managers are supported throughout the process.
Performance management:
* Manage the annual appraisal process, supporting managers in delivering constructive feedback and setting development goals.
* Oversee the scheduling and documentation of 1:1s, ensuring they are meaningful and well-structured.
* Provide training to managers on effective performance management techniques.
Payroll and compliance:
* Ensure compliance with employment laws and regulations, addressing any legal or compliance risks proactively.
* Keep the organisation updated on regulatory changes and provide guidance on their impact.
* Ensure the accuracy of payroll by reviewing data, addressing any issues, and coordinating with the finance coordinator and accountants for final approval before payments are processed.
Benefits platform:
* Administer the benefits platform, ensuring employees are informed and able to access offerings.
* Regularly review benefits to align with team needs and organisational goals.
Strategic HR planning and communication:
* Work closely with leadership on workforce planning and HR strategy.
* Identify opportunities to improve HR processes and systems.
* Confidently communicate with employees and managers across all levels of the organisation.
Qualifications and Skills
* Proven experience as an HR Manager, ideally in a remote or fractional role.
* In-depth knowledge of UK employment laws and HR compliance.
* Experience of hiring and managing international contractors would be advantageous.
* Experience of running HR for a remote company would be advantageous.
* Strong administrative skills with experience managing HR platforms (e.g., PeopleHR).
* Excellent communication and interpersonal skills to engage confidently with all levels of the organisation.
* Ability to balance strategic HR initiatives with hands-on operational support.
* Experience in recruitment, policy creation, and performance management.
* Self-motivated and organised, with the ability to work independently in a part-time capacity.
