What You’ll DoCore Responsibilities
* Reception & Correspondence: Welcome visitors, answer and make calls, handle incoming/outgoing mail, and draft basic correspondence.
* Diary & Travel Management: Coordinate schedules, book travel arrangements, and ensure smooth day-to-day operations.
* Office Organization: Maintain filing systems, order stationery, and oversee office maintenance.
* Administrative Tasks: Assist the team with filing, archiving, and proofreading documents.
* Customer Service: Manage client queries, unpaid invoices, and appointment bookings.
* Back-Office Coordination: Ensure effective communication with the back office to streamline processes.
* Process Improvement: Develop and implement new administrative procedures to enhance operational efficiency.
What We’re Looking For
Must-Haves:
* Fluency in French and English (written and spoken).
* Proficiency in Microsoft Word, Excel, and Outlook.
* Strong organizational and communication skills.
Nice-to-Haves:
* Fluency in Spanish is a bonus
* Previous experience in administration, particularly within professional services (e.g., legal, accounting, healthcare).
* Knowledge of CRM systems.
