An exciting opportunity has become available for a Receptionist/Administrator to join the team at The White House Surgery.
We are looking for an enthusiastic, motivated individual to join our friendly team on a full-time or part-time basis. Flexible hours to suit home life balance but must be able to work until 6.30pm one day a week.
Experience of working in a GP Surgery would be desirable but not essential. Full training will be given.
Immediate start is available.
Main duties of the job
The purpose of the role is to:
* Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, whether in person or via the telephone.
* Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
* Undertake a variety of administrative duties to assist in the smooth running of the practice.
* Facilitate effective communication between patients, members of the primary health care team, secondary care, and other associated healthcare agencies.
* Ensure that all reception duties and tasks are carried out in an effective and efficient manner, in line with the practice guidelines, procedures, and protocols.
* Ensure both patients and visitors to the surgery receive a high level of customer service.
* Undertake general office and reception duties, including working on the front desk and answering calls.

The Whitehouse Surgery is an established training surgery in the Manor area of Sheffield. We are dedicated to the health and well-being of the community that we serve. We are proud to be a training practice supporting both doctors and nurses in different stages of their career.
Our surgery team consists of 7 GPs, both partners and salaried, Nurse Practitioners and Practice Nurses, Health Care Assistants, and a pharmacist. We also welcome other community services into the surgery on a daily basis. Our Administration team and Receptionists provide a friendly and efficient service to our patients. The surgery prides itself on teamwork and teaching, whilst also providing a quality service to an area with a number of social challenges.
Job responsibilities
Key duties and responsibilities include:
* Acting as the first point of contact for patients, visitors, and employees, providing a welcoming and professional reception and telephone service.
* Ensuring all individuals reporting to reception are dealt with courteously and professionally, including organizing patient appointments and home visits.
* Facilitating the passing of information to staff, patients, and other Health Care providers.
* Answering incoming telephone calls promptly and efficiently, directing them to the correct individual or taking clear messages and ensuring they are actioned appropriately.
* Acting as a team with administrators and receptionists, to ensure a high professional standard is met.
* Maintaining a high standard of cleanliness in the reception area and meeting rooms.
* Receiving and distributing incoming post and other deliveries, ensuring they reach the correct department in a timely manner.
* Accurately recording and retrieving patient and other data from the internal computer system, and dealing with other computerized instructions from GPs and supervisors.
* Registering new patients and amending patient records as required.
* Arranging repeat prescriptions for sending to local pharmacies.
* Completing other general administration duties as directed, such as filing, scanning, archiving, and photocopying, and providing cover in the absence of colleagues.

* Acting as an ambassador of The White House Surgery, maintaining honesty, integrity, and trustworthiness at all times.
* Maintaining strict confidentiality at all times.
* Being aware of and applying health and safety and fire precautions across the practice.
* Ensuring data protection is maintained at all times.
* Being flexible in terms of working hours in order to meet service needs.
* Supporting The White House Surgery as required, across the range of duties as appropriate. Person Specification
Experience
* Ability to prioritize.
* Excellent written and verbal interpersonal communication skills.
* IT literate.
* Previous experience of working in a GP Practice/Primary care.
* SystmOne Trained.
