Responsibilities:
* Arrange and coordinate internal and external project meetings, including the management of schedules and conference calls.
* Prepare and distribute meeting materials, such as agendas and minutes, ensuring accurate documentation of discussions held.
* Assist in managing project communications, including monitoring project mailboxes.
* Support the project team by organising and managing feedback and scoring during the procurement process.
* Review and maintain core project documentation, ensuring accuracy and accessibility.
* Provide general administrative support as required by the Project Manager and Project Coordinator.
* Liaise with internal and external stakeholders to schedule meetings, visits, and conference calls.
* Maintain filing systems for technical documents and manage drawing databases.
* Utilise IT systems, such as Maximo, data-port, and Office 365, to support the team's work.
* Assist with purchasing queries, invoice management, and analysis of data for reports.
* Ensure compliance records are maintained and any non-compliance is promptly reported.
* Demonstrate a strong focus on customer service and take ownership of tasks and communication.
* Proficiency in Microsoft Office, including Word, PowerPoint, Outlook, and Excel.
* Excellent communication skills, both written and verbal, with the ability to interact professionally at all levels.
* Strong prioritisation and organisational skills, with a problem-solving mindset.
