We're currently recruiting a dedicated Workplace Assistant to help ensure the smooth running of the operations in 14Forty on a part time basis, contracted to 30 hours per week.
As a Workplace Assistant, you will use your skills to maintain a high standard of facility management with the wider facilities team. Your key responsibilities will include:
1. Being polite, professional, and friendly with all customers, clients, and colleagues; ensuring the highest level of customer experience.
2. Taking ownership of all situations by demonstrating a can-do attitude towards individual customer or client requests striving to exceed customer expectations.
3. Acting as Fire Marshal and First Aider.
4. Fully understanding the meeting room AV infrastructure and equipment, to be the first point of contact to resolve technology issues.
5. Working with IT and raising appropriate service tickets to enable higher level faults to be resolved.
6. Having a full understanding of which business groups are onsite and where they are located.
7. Liaising with security and giving details of cars being left onsite, or staff staying later.
8. Ensuring the Regional Facilities Manager (Client) is fully updated on issues and problems.
9. Refreshing Kitchenets at the start of the day and monitoring throughout.
10. Setting up lunch tables/seating with Menu cards.
11. Contacting suppliers for vending machine figures and updating the spreadsheet.
12. Coordinating meeting room bookings and requirements, collating data on usage.
13. Switchboard duties (Answering calls).
14. Setting up meeting rooms across the site making sure all rooms have the correct equipment and furniture.
15. Checking meeting rooms at the end of each day to ensure set up is correct, tidying up meeting rooms, restocking stationary boxes, and supplies.
16. Ordering and distributing stationery for the office and maintaining a formal stationery stocklist.
17. Being part of the TOPdesk fault reporting process, ensuring issues are dealt with promptly.
18. Ensuring coffee machines are functional, managing milk, fruit, and replenishing free issue teas and coffee.
19. Post distribution and collections.
20. Liaising with and reporting security issues to ISD (security specialist) and client plus raising TOPdesk ticket.
21. Logging all maintenance issues in TOPdesk, liaising with contractors then closing ticket on completion.
22. Ensuring all contractors sign the authority to workbook.
23. Requesting attendance from the business park for various issues within the landlord's domain.
24. Undertaking cleaning duties if an issue occurs.
25. Daily walkaround fire exits checks (AM only).
26. Post room and courier service duties for the office.
27. Mail management - incoming/outgoing post/franking.
28. Sending out stationary packs for reps.
29. Liaising with Pitney Bowes in relation to franking machine, equipment, and account status.
30. Face-to-face liaison with all Royal Mail and courier drivers who deliver to the office.
Essential
1. Experience working within a Workplace Customer Service role.
2. An enthusiastic self-motivated individual with a drive & passion for delivering high quality work.
3. Passion for excellent customer service.
4. Understanding of AV equipment and support needs.
5. Flexibility and proactivity to changing work patterns and priorities.
6. Excellent organisation, administrative and communication skills.
7. Good IT skills and knowledge of Microsoft Office.
8. Proactive and flexible in approach to customer service.
Desirable
1. First Aid Trained (we will provide training if required).
2. Fire Marshal Trained (we will provide training if required).
3. Post Room Knowledge.
