The Production Administrator is responsible for overseeing the administrative functions within the business. This role supports planning, scheduling, finance, procurement, and record-keeping, while also ensuring compliance with company policies and safety regulations.
Responsibilities:
1. Assist in planning and organising production schedules, ensuring that timelines and targets are met.
2. Coordinate with suppliers to ensure materials are available for production.
3. Manage Goods Received, ensuring correct job allocation and report and resolve any deficiencies.
4. Raise POs, monitor costs, invoices, and payments alongside the Group finance department.
5. Maintain and update production records, logs, and reports.
6. Track and document inventory levels, supply orders, and materials used in production.
7. Coordinate meetings, prepare meeting agendas, and take minutes during meetings.
8. Address any administrative queries efficiently.
9. Document and report any quality issues or discrepancies to the SHEQ department.
10. Order and maintain office supplies, equipment, and uniforms for the production team.
11. Handle phone calls, emails, and other correspondence related to the business.
12. Maintain statutory records including safety checks, training sessions, and incident reports and forward to Group SHEQ.
13. Assist with the preparation and distribution of daily, weekly, or monthly business reports to management.
14. Work with Group finance department to ensure the business provides any information required and maintains accurate records via the business ERP system, Datafile.
15. Coordinate and produce Fabrication Packs including cross-referencing and checking of manufacturing drawings against schedules and parts lists generated. Identify deficiencies and resolve.
16. Control of drawings issued by Design Consultants, Customers, and CEL own including implementation and management of drawing control registers.
17. Transport management including generating delivery notes, organising hauliers, and booking in deliveries with customer’s online systems.
18. Maintain reports and organise inspections of lifting equipment, PPE, plant, and machinery. Organise and implement servicing and breakdown repairs.
