J and J Nichol have a new vacancy just in, they are looking for a Business Admin Apprentice to join the team This position includes working on reception, general office tasks and admin duties Job Description - Typing up of emails, letters, quotations, invoices, payment applications, technical queries, method statements, etc, from written notes and verbal dictation – requires excellent spelling, punctuation and grammar. - Sending the above emails – ensure they are checked before sending, are presented professionally, identify the correct recipient and file the document in the correct place(s). - Monitor incoming emails to reception computer and diligently print and distribute to the correct people and file correctly. - Receive price enquiries by email – keeping a record and printing the appropriate drawings and documents - Answering the telephone and using the switchboard with a polite and helpful manner, taking and passing on messages efficiently and effectively. - Filing paper copy drawings, emails, sales and purchase orders, etc – identifying correct place where documents should be filed and understand the need to file documents correctly. - Opening and distributing post. -Receiving, checking off and signing for deliveries. - Use the e-diary and reminding the relevant people appropriately. - Keeping useful info. up to date, such as, site addresses and telephone numbers. - Keeping steel fabrication drawing records. - Issuing consumables and stock supplies to workshop personnel. - Maintaining employee details, issuing working rules, new starter letters, etc. - Collating purchase orders, delivery notes and invoices and ensuring info. is correct. - Checking calculations on quotations, invoices, etc. - Updating labour hours and stock material lists to job costing. -Calculating and keeping records of van fuel usage. - Greeting visitors and offering refreshments to members of a meeting. - Any additional relevant tasks, as required. Being accurate and able to prioritise is essential to the role, as are good numeracy, language and computer skills. J and J Nichol are looking for someone who is also organised, able to prioritise and someone who remains calm and focused during busy periods. This position can offer an opportunity to hold greater responsibilities and roles, if required, by progressing into the buying or accounts departments within J & J Nichol. Working hours - Monday to Friday, 8L45am until 4:45pm Salary - £6.40 per hour Qualifications Maths and English A-C / 4-9 or equivalent desirable but not essential. Benefits
