Job overview
We are seeking an organised, self-motivated and approachable individual to join our friendly team in Respiratory as admin and clerical staff for a busy Outpatient department. The successful candidate will support the administration function of the service, helping clinicians deliver high-quality patient care.
You will manage all elements of the patient pathway in line with the Trust’s Elective Access Policy, become familiar with different outpatient pathways and referral to treatment (RTT) status codes, and contribute to the ongoing development and improvement of the service.
We are looking for someone with good interpersonal skills in oral and written communication, who can communicate professionally across various services and professionals. Applicants should have a flexible approach to work, be able to work as part of a wider administrative team, and use their initiative confidently with computers.
Main duties of the job
1. Participate in the Trust and Department’s protocols for appointments booked under the Directly Bookable system, ensuring all referrals are available for clinic.
2. Log onto the Choose and book national system daily and print off all outstanding referrals, ensuring all attached documents are uploaded to patients' records.
3. Distribute referrals to the appropriate consultant or team member for triage, ensuring all referrals are received back within 24 hours.
4. Update EPR and the E-Referral system as required when referrals are received back, ensuring patients are updated with appointment details.
5. Maintain the E-Referral breach list daily and contact patients within 48 hours with an appointment date and time.
6. Liaise closely with colleagues in all areas of the PAB (Patient Appointment Bureau), Clinical and administrative teams to ensure all referrals are returned and actioned in a timely manner.
