Role:Logistics Co-ordinator
Reports to:Snetterton Transport Manager
Direct Reports:There are no direct reports in this role.
Function:Support the logistics planning operation utilising own fleet and 3PL carriers to
Consignee destinations in the UK including Islands, Northern Ireland and Mainland
Europe.
Support the logistics operation to plan return loads from depots or Raw materials
from suppliers back to Snetterton warehouse.
Support the central logistics function with administrative tasks to ensure company processes and regulatory procedures are adhered to.
Duties / Tasks:
Planning support
Utilising SAP ERP to download customer orders and prepare them for route planning.
Ensure planning software is aligned with resource availability to enable planningprocesses.
UK Trunker Fleet Delivery Planning and schedule Execution
Plan the delivery routing and scheduling using planning software tools.
Ensure all orders are route planned to achieve maximum fleet utilisation.
Ensure all orders are route planned to meet customer expectations.
Ensure all routes comply with the relevant legislation parameters for drivers andvehicles.
Release order plan for picking to the relevant teams for fulfilment.
3PL Carrier Planning, including FTL movements - execution and monitoring
Manage OTD process for all shipments being distributed by 3PL Carriers including FTL’s.
Allocate and book the relevant carriers for movements.
Ensure all required delivery slots are booked in accordance with consignees’ requirements.
Monitor all movements conducted by 3PL operators to ensure deliveries are achieved within stipulated timescales.
Investigate issues or failings of deliveries into customers by 3PL Operators.
Purchase order creation and management for 3PL movements.
Complaints Management
Control the logging of Logistics Orientated complaints.
Investigate complaints and report on findings, including B2B movements through parcel/courier network (DHL, DPD, etc).
Review with Customer Service on findings, actions and resolutions.
Daily Communications
Be first point of contact for Customer Service/BDM teams for filtering and control ofcommunications coming into the SC / Logistics department.
Liaise with all Key stakeholders in the OTD process (Customer Services, WarehouseOperations, etc).
Logistics Management team for vehicle and/or driver matters.
Centralised Logistics Functions
Purchase order creation and management for centralised procurement (main fleetvehicles, tracking camera’s, office supplies, etc).
Vehicle onboarding (Finalising process).
Support with fleet insurance activities including Claims Management.
Support with Cost recharges for vehicles that are VOR, including Credit requests.
Manage Parking registers and any PCN’s received, including the notification to HR, payroll and employee of PCN recharges.
Other duties to include (not limited to)
Support the activities involved with stock movements to/from external storage.
Provide order information to Warehouse team for customer collections.
Support with the planning process for courier movements as required (DHL, DOD, Etc).
Support in Health and Safety matters, including reporting, investigation, conducting Risk Assessments, creation of SOP’s, etc.
Support with Driver Debriefs as required.
Provide analysis of the daily debriefs of drivers.
Support with Customer returns processes as necessary.
Arrange hire cars through the current provider as necessary.
Responsibilities:
Ensure all orders are downloaded ready for the planning process.
Ensure all 3PL Suppliers are booked for specific consignments.
Ensure UK Trunker Fleet is planned in accordance with legal requirements.
All orders are passed to warehouse operations for picking.
All consignments are monitored during the transit process.
Communications with relevant stakeholders for all product movements.
Ensure all costs are captured through the Purchase Order Process (SAP/Fiori)
Provide support and/or cover to the UK Delivery Fleet planning function.
Purchase Order control and management.
Fleet Insurance process control.
Claim submission and receipt for VOR costs.
KPI’s:
100% of orders downloaded and prepared within necessary timescales.
100% of orders passed to warehouse Operations
100% of orders booked through 3PL service provider
100% planning in accordance with legal compliance across all functions
100% of Purchase Orders raised for the correct cost centres and accounting periods.
100% of Vehicles managed through the MID Insurance Processes.
100% of claims/incidents submitted to Fleet insurers.
Qualifications:GCSE English
GCSE Mathematics
Skills/Experience:Use of ERP systems (SAP would be advantageous).
Use of vehicle planning systems (Advantageous).
Control of 3PL processes.
Knowledge of Drivers Hours rules and WTD Regulations.
