A well-known Japanese culture hub based in London is currently recruiting a Programming Projects Coordinator (Exhibitions). In this role, you will be responsible for developing, coordinating, and executing the exhibition programme, supporting the production of proposals for programmes, and assisting in liaison with stakeholders in Japan and the UK. The ideal candidate should have experience in exhibition coordination, strong bilingual communication skills, project management abilities, and a deep understanding of Japanese culture.

WORKING HOURS: Full-time role of 40 hours per week, inclusive of after-hours project-related tasks (evenings and weekends). Outside of installation periods, standard working hours are 8 hours per day, 5 days per week, with core hours from 10am to 3pm.

Main Responsibilities:
1. Developing, coordinating, and executing exhibition programme under the supervision of the Head of Programming Projects
2. Drafting proposal documents, graphic and creation overviews, and project management timelines
3. Supporting curatorial research and content development
4. Preparing documentation for exhibition logistics
5. Ensuring exhibition installations and de-installations are conducted efficiently and on time
6. Managing and coordinating vendors, designers, and content holders
7. Managing all relevant insurance and shipping requirements for exhibitions
8. Helping artists, content holders and other exhibition-related members with travel and accommodation planning
9. Conducting the daily maintenance of exhibitions and care of artworks/display objects
10. Managing the storage of non-displayed loaned/owned objects
11. Ensuring technical and logistical needs of programmes and venue requirements are met
12. Liaising in English and Japanese with stakeholders for exhibition development
13. Building relationships with cultural and academic institutions, contractors, and individuals in the UK and Japan
14. Monitoring and maintaining any assigned budgets
15. Sourcing products and services and completing internal financial processes
16. Coordinating with team members to respond to any questions or requests
Ideal Candidate:
1. At least 3 years professional experience in a similar role with responsibility for executive-level correspondence, administration and logistics management and programming
2. Business level fluency in both English and Japanese
3. Proven skills managing exhibition production or installation
4. Strong administration skills with proficiency in MS Office
5. Understanding of Japan and Japanese cultures
6. Project management experience
7. Budget management experience
8. International shipping management
9. Additional training in art handling or project management
10. Experience with CRM platforms
11. Knowledge of funding application processes
12. Experience in a project-office environment
13. Experience of working in an inter-cultural environment
14. Understanding of Japanese culture
