We are currently looking for a part time Processing Administrator
(25 hours per week – Monday to Friday, 9:00 – 14:00 - fully based onsite)
The Order Processing Administrator plays a key role in maintaining the smooth day-to-day operations of our commercial functions. The role is responsible for ensuring orders are accurately checked and processed, invoices are verified and generated, and stock levels are kept up to date. By maintaining clear internal and external communication, the role supports both customer satisfaction and operational efficiency.
Core Responsibilities:
Order Processing
1. Check incoming orders for accuracy and completeness.
2. Process and oversee orders, ensuring all details are correctly logged and updated.
3. Update order status on both internal systems and customer-facing platforms.
4. Review and process invoices, ensuring that all financial documentation meets company standards.
5. Generate pro-forma invoices as required to facilitate smooth transactions.
Stock Management
1. Perform regular stock updates to reflect current inventory levels accurately.
2. Collaborate with relevant teams to address any discrepancies in stock records.
Communication & Coordination
1. Liaise with internal departments and external stakeholders to resolve order or invoice queries.
2. Provide ad hoc administrative support to maintain the overall efficiency of the commercial operations.
What you can already do:
1. Previous experience in order processing, invoice administration, or a similar role.
2. Excellent attention to detail and strong organisational skills.
3. Proficient in using standard office software and the ability to quickly learn internal systems.
4. Effective verbal and written communication skills in UK English.
5. Experience within a commercial or FMCG environment.
6. Familiarity with generating pro-forma invoices and managing stock records.
7. Ability to work autonomously in a part-time role, managing time efficiently.
