Personal Assistant/ Office Assistant Role
We are a small, family-run office looking for a highly organised and responsible assistant to join our team. You will work on a variety of tasks relating to the day-to-day running of the office as well as efficiently supporting and looking after the diaries of key team members.
Experience in diary management and Office Applications (Word, Outlook, Excel) is preferable but not essential as full training will be given to the right candidate.
A summary of the duties includes:
1. Diary management
2. Dictation
3. Meeting and greeting guests and organising the booking of rooms
4. Setting up of lunches/events/meeting rooms
5. Answering telephones and being first point of contact
6. Filing/archiving/printing/scanning/photocopying
7. Organisation of both outgoing and incoming post
8. Ordering taxis/couriers
9. Ordering of books/tickets/subscriptions/memberships and various other ad-hoc items
10. Ordering general office and stationary supplies
11. Liaising with various contractors/suppliers/engineers in relation to the general running of the office
12. Sourcing quotes for and organisation of remedial works for building
13. Liaising with the office tenants
14. Health & Safety checks for the office
15. Paying and recording invoices for the office and accountants
16. Keeping contact details up to date on the company database
17. Managing the family’s personal house (utilities, repairs etc)
