What is the purpose of this job?
You will be responsible for co-ordinating all of RDG events; providing proactive, logistical support to RDG colleagues in achieving its priorities through developing and delivering high quality, internal and external events. As the railway enters a period of reform, RDG has a critical role in supporting the railway during transition and is key to the reputation of the industry. RDG have several events in development that this role will be responsible for co-ordinating.
This role sits within the Strategic Communications team but will support teams across the organisation, both internal and external, aligned to one central strategic events plan, developed and overseen by the Head of Strategic Communications.
You will be responsible for ensuring that all aspects of RDG and RDG’s partnership events are delivered to a high standard.
What can I expect to do in this job?
1. Working closely with the Head of Strategic Communications and the Head of Stakeholder Engagement to provide logistical support on all aspects of events across RDG, both external and internal events including all staff company away days.
2. Liaise with RDG internal contacts to ensure event requirements are captured, understood and planned accordingly. This role will be expected to carry out event audits to ensure events align with RDG’s events strategy which may involve challenging appropriateness of events where necessary.
3. Ensure key communication planning tools, including the fortnightly grid, are kept up to date with all company events and speaking opportunities. Ensuring RDG senior colleagues are aware of upcoming events and RDG planned presence.
4. Strong understanding of AV and other technical elements required in creating a successful corporate event, managing relevant agencies where applicable.
5. Venue scoping – new and existing venues relevant for both internal and external events.
6. Venue management - booking and liaison with venues, including catering, seating plans, accessibility and technical requirements.
7. Scoping the external landscape for opportunities, researching major rail and transport events, pitching RDG's involvement.
8. Gathering, co-ordination and providing logistical information for briefing documents.
9. Diary management – creating and managing invite lists, booking and liaising with speakers, producing and sharing invitations.
10. Liaising with comms and social media colleagues to support events wider communications.
11. Promoting RDG events and attendance via internal comms channels and RDG website.
12. Liaising with RDG partner companies to support their presence and involvement within events.

What experience, skills and knowledge do I need?
1. A strong background and proven experience in planning and executing varying sizes of successful events, along with the ability to manage complexity and ambiguity.
2. Using experience, able to put recommendations forward for successful event management that instils confidence in stakeholders.
3. Ability to build relationships and develop networks with internal RDG staff as well as external stakeholders where appropriate.
4. Excellent understanding of what makes a successful event and able to translate this into successful practice guidance.
5. Ability to exercise good judgement and adapt plans and approaches in accordance with a shifting external landscape.
6. Organised and able to manage events within planned schedules.
7. Need to work well under pressure and be able to communicate to senior members across the organisation in a reassuring and comprehensive manner.
8. Highly attuned communications skills – written, oral and visual and excellent quality control.
9. Good project management experience.
10. Experience managing CRM preferable but not essential as training will be provided.
11. Experience and understanding of working in politicised environments or public policy campaigns preferable but not essential.
