Key Responsibilities:
1. Proficiently adapting to and completing a multitude of administrative tasks, from scheduling jobs (diary management) through to invoicing (purchasing of parts).
2. Accurately allocating works to our engineering team and following up any outstanding jobs with a strong attention to detail.
3. Timely collaboration with internal and external stakeholders to assist in the planning of tasks, for example, arranging access to buildings.
4. Maintaining excellent relationships with professionals of various expertise, including our main client UKAEA and subcontractors.
5. Monthly reporting.
6. Attending meetings as required to take and distribute minutes.
7. Operating the Dalkia finance-oriented software to raise purchase orders, enter timesheets, and raise invoice queries in line with Dalkia policies.
8. Flexibly working on a range of software, particularly in the scope of Microsoft and CAFM.
9. Providing technological support when required.
10. Supporting other activities as appropriate when the business requires.
11. Providing holiday/sick cover as needed to ensure business contingency.
12. Completing mandatory UKAEA and Dalkia training as required.
Essential:
1. GCSE (or ‘O’ Level equivalent) passes in Maths and English or recognized equivalent.
2. An understanding of and experience with project works environment.
3. Understanding of key deliverables of a programme of works and experience in the use of applications such as Outlook, Word, and Excel.
4. Ability to work on own initiative and prioritize workload.
5. Customer awareness – responsive to the needs of the customer and aims to deliver customer satisfaction.
6. Adaptable, responsive, and open to changing circumstances.
