The Outsourced Services team sits within publishing and content operations and is responsible for sourcing and the contracting of all 3rd party content creation and delivery services, across ELT and Publishing & Content Operations. We are recruiting two Outsourced Services Leads to ensure that all contracting activity is completed in line with OUP’s policies and governance guidelines including onboarding, they undertake all aspects of contracting, lead on price negotiation, seek budget approvals and address supplier performance issues. You will be responsible for the supplier relationship during any outsourcing activity from initial engagement through to final delivery and final invoice.
This is an extremely busy and varied role, working across the ELT and Publishing & Content Operations functions to ensure external resourcing requirements are met.
Key Responsibilities
* You will select the right suppliers to provide high quality content creation and delivery services cost effectively. You will choose suppliers based on previous experience and suitability for task being outsourced.
* In line with OUP’s compliance and onboarding policies you will be responsible for all activities for supplier engagement including, briefing, price negotiation, contract creation and approval, budget approval and confirmation of services for payment.
* Working with the functional leads you will develop and agree the approach and timeline for sourcing requirements. You will work collaboratively to ensure that urgent outsourcing requests are met but also minimised.
* Oversee outsourcing activity, you will record supplier performance issues and work with the supplier where possible to rectify. Any continued supplier performance issues should be escalated to the Outsourced Services Manager.
* Work with teams across ELT and Publishing & Content Operations to ensure outsourcing requirements are clearly defined and understood by 3rd party suppliers and are engaged in line with budget and schedule requirements. Lead and take part in meetings between inhouse SMEs and external suppliers to ensure project requirements are fully briefed and understood whilst also ensuring OUPs central procurement processes are adhered to.
* You will accurately record and update internal systems with outsourcing activity to ensure visibility of spend and budgets is maintained throughout the year. You will also contribute to ongoing process improvements to ensure continued efficiency.
* You will manage and process a significant volume of purchase orders and supplier agreements that require a high degree of accuracy and attention to detail whilst engaging with multiple inhouse systems and process.
* Maintain a process of continuous improvement, monitoring and improving outcomes, and communicating changes to all key stakeholders so all relevant parties are kept informed.
We operate a hybrid working policy that requires a minimum of 2 days per week in the Oxford office.
About You

* Knowledge of publishing life cycle within all functions of Editorial, Design and Media from content development through to content production and delivery of final files.
* Working knowledge of Microsoft Office (including Excel) and Adobe software.
* A background or interest in ELT.
* Experience of working in publishing or a similar industry in a relevant role.
* Experience of ERP systems such as SAP, including reporting and creation of purchase orders.
* Experience of contracts and engaging with 3rd party content creation suppliers.
* Experience of working in a matrix organization.
