POSITION PURPOSE To provide essential support to the Reservations Team, ensuring flawless administration and exceptional quality assurance through unmatched attention to detail. Manage extensive written communication with customers, prepare precise and comprehensive contractual documentation and invoices, track and monitor payments, and compile detailed reports. Oversee the quality assurance of all reservation and revenue data in various booking systems, ensuring accuracy across each booking. Complete all tasks within established timelines to assist the on-property sales team in delivering an accurate, efficient, and welcoming luxury reservation service for every aspect of our 5-star Resort. Additionally, offer support with any other tasks as required by the Reservations Management and Revenue teams to ensure seamless operations. ESSENTIAL FUNCTIONS Conduct thorough Quality Assurance checks on all resort reservations made through both internal and external booking systems. Perform detailed reviews of every aspect of the reservation, including but not limited to accommodation, golf, spa, outdoor activities, dining, transfers, off-site excursions, rate codes, market codes, operational instructions, guest information, payment details, and source correlation. Ensure guest profiles are consistently maintained, merged, and updated to provide accurate and up-to-date information for the Company, Agents, and Individual Guests at all times Coordinate, track, and ensure the timely and accurate receipt of all booking pre-payments from both individual travelers and third-party companies/agencies. Investigate and resolve reservation discrepancies, billing errors, and issues related to no-shows or cancelled bookings. Maintain Guest Correspondence files, ensuring they are up-to-date and accurate at all times. Possess comprehensive knowledge of all available market segments and rate plans, including special rates and packages. Identify opportunities to maximize and generate additional revenue, and proactively suggest options to the Sales Coordinators to support upselling efforts across all areas of the resort. Prepare daily, weekly, monthly, and ad-hoc reports on booking and revenue data. QUALIFICATION STANDARDS Eligibility to live and work in the UK Must have a strong desire to work in an incomparable 5-star sector. This role is ideally suited to someone with some knowledge of detailed administrative work within a luxury operation, or previous experience within a reservations or front office environment. Must be able to communicate freely, precisely, and eloquently in the local language, verbally and written Must have strong numerical, analytical, and statistical skills with the ability to analyse data and establish appropriate action plans essential Must possess computer skills, including but not limited to, the use of Microsoft Word, Excel, and Gmail. Previous experience with Opera is highly desirable. Extreme attention to detail and the ability to multi-task in a fast-paced environment are essential.
