LEGAL PA COMMERCIAL PROPERTY Previous Legal Secretarial experience in Commercial Property is essential as you will need to hit the ground running for this role. This is a notable City law firm where you will add value in your support to a great team of Fee Earners, dealing with high-net-worth clients covering conveyancing, financing, and acquisitions, and where cases will include both UK and some overseas transactions of which are often complex and where acute attention to detail is required. As a Property Practice Assistant, your key duties will encompass: -Extensive diary management including organising various internal and external meetings including room bookings, Virtual Teams meetings, refreshments, and IT equipment -Maintaining an up-to-date understanding and know-how of Fee Earners' cases to enable a proactive support service -Completing research for new clients/contacts and collating all documents required for client meetings, and conducting basic research (on-line or otherwise) for Fee Earners when required -Monitoring critical dates/scheduling in the diaries of Fee Earners for their matters including setting up online/hybrid meetings and liaising directly with clients when required -Responsible for all aspects of the administrative and secretarial work for the Commercial Property team including engagement letters, supporting with all AML/Compliance matters under the supervision of the Fee Earners. Set up conflict searches for review by the Fee -Earners and correctly identifying the appropriate classification for each entry -Monitoring email and drafting correspondence on email and letter on behalf of the Fee Earners as required and requested -Audio and copy typing of correspondence using digital dictation and standard firm templates to include client care letters -Carrying out various conveyancing searches using the firms internal systems and external portals -Supporting the fee earners and managing the workflow and proactively completing tasks within tight deadlines -Acting as the first point of contact for the Fee Earners, managing telephone, voicemail and out of office email messages for the team and escalating matters for action -Supporting the Business Development team in the production of business development materials -Ongoing and monthly billing as instructed by the fee earners including all invoicing and narratives and to include cover letters. Supporting with time-recording where required. Liaising with credit control and alerting Fee Earners to unpaid/overdue invoices -Document preparation, formatting in accordance with house style, completing at high speed and with accuracy following internal guidelines, and supporting and mentoring less experienced team members. Proof-reading of documents for spelling, grammar and raising queries where appropriate -Following the department guidelines in relation to e-filing and accurate records of all files sent to off-site storage Key Competencies: You will need to be able to demonstrate a track record of working in legal and ideally have 3-5 years experience as a minimum and have expertise within Commercial Property. You will need to demonstrate initiative and an ability and willingness to learn new skills and tasks, be enthusiastic, motivated, and work well as part of a close-knit team. Previous Legal Secretarial experience in Commercial Property is essential as you will need to hit the ground running beyond learning/adapting to new systems. -Able to display a positive can-do attitude -Be highly organised, efficient, and proactive and able to work with minimum supervision but be willing to work as part of a team and support colleagues where required which will be reciprocated -Strong communication skills and client relationship skills as you will often be the first point of contact via telephone, email or in person if clients visit the office -Able to build a strong knowledge of clients and organisations to help Fee Earners develop future relevant business opportunities for repeat business -Understand and use InterAction effectively to support Fee Earners to include recording all business development meetings, and reminders where follow-ups are needed -Ability to liaise with I.T when technical issues arise in the team and resolve to satisfaction -High level of proficiency in core IT applications including Microsoft Office suite (Word, Excel, PowerPoint, and Outlook) and ideally Aderant for billing, InterAction, Intapp and BigHand -Qualified to GCSE standard, grade C or level 4 equivalent in Mathematics and English Benefits: As well as a competitive salary, the successful PA will also receive: -Flexible hybrid working with 2 days in the office as standard and 3 working from home.
