About the Role: Job Summary: This is an excellent entry-level opportunity for a motivated and enthusiastic individual to join the OSTTRA London team as a Facilities Assistant. You will provide essential support to the Facilities Manager, ensuring the smooth and efficient running of the office environment. This role is perfect for someone looking to start their career in facilities management and gain valuable experience in a corporate setting. Key Responsibilities: 1. First Point of Contact & General Facilities Support: Be the friendly and helpful first point of contact for staff regarding facilities queries. Assist in maintaining the cleanliness and organisation of tea points, meeting rooms, and the general office. Report any maintenance or repair issues to the Facilities Manager or building management team. Help ensure a comfortable and welcoming office environment. 2. Inventory & Stock Management: Assist in maintaining accurate inventory records of tea point supplies, meeting room consumables, and stationery. Help replenish stock levels to ensure items are readily available. Assist with ordering and receiving office supplies as directed. 3. Meeting Room & Booking Support: Assist with the setup of meeting rooms, including arranging chairs, tables, and basic equipment. Help manage urgent meeting room booking requests. 4. Administrative Support: Greet visitors and accept deliveries in a professional and courteous manner. Assist with the distribution of incoming and outgoing post and parcels. Take messages for colleagues as needed. Assist with basic invoice processing for office supplies. 5. Security & Access Control Support: Assist with the issuance of security passes to staff and visitors. Help maintain accurate records of security pass holders. 6. Staff Engagement & Office Environment Support: Assist with the setup and breakdown of staff engagement events. Help maintain the office layout and report any maintenance needs. Assist with basic office moves and reorganisations. 7. Global Alignment & Collaboration Support: Assist the Facilities Manager in understanding and implementing global facilities processes. 8. Ad-hoc Support: Provide general administrative and logistical support to the Facilities Manager and other team members as requested. Skills & Experience: A positive and proactive attitude with a willingness to learn. Excellent communication and interpersonal skills. Basic computer literacy, including familiarity with Microsoft Office (Word, Excel, Outlook). Strong organisational skills and attention to detail. Ability to work effectively as part of a team. A customer-focused approach. No prior facilities experience is required, but a keen interest in the field is essential. Personal Attributes: Reliable and punctual. Friendly and approachable.
