We are looking for an organised and proactive Care Administrator to join our Children’s Care Team at Dougie Mac. In this vital role, you will provide essential administrative and secretarial support, ensuring smooth day-to-day operations and effective communication between families, professionals, and the care team.
As the first point of contact for telephone enquiries, you will play a key role in liaising with families and external professionals, maintaining accurate and confidential records, and ensuring that vital care-related information is up to date. This is a rewarding opportunity to be part of a compassionate team, supporting the delivery of high-quality palliative care for children and young adults.
Key Responsibilities
* Act as the first point of contact for families and professionals, managing telephone enquiries and messages professionally and sensitively.
* Provide comprehensive administrative support to the Children’s Care Team, including preparing care documentation for admissions.
* Maintain accurate records and databases, ensuring efficient information management for auditing purposes.
* Order and manage stock supplies to support the care team’s needs.
* Assist with general office duties, including filing, photocopying, scanning, and archiving documents.
* Support a range of team members, including Team Leaders, Care Support Workers, Nurses, and Clinical Educators.
* Ensure confidentiality and data protection are upheld at all times.
About You
You will be a highly organised and efficient administrator who thrives in a busy environment. You’ll have excellent communication skills, with the ability to liaise professionally and sensitively with families and healthcare professionals.
We’re looking for someone who has:
* Experience working in a busy administrative role, ideally within a healthcare or care setting.
* Strong IT skills, including Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Excellent time management and the ability to prioritise tasks effectively.
* A friendly, approachable manner with strong verbal and written communication skills.
* The ability to work independently, using initiative while supporting a wider team.
* A good general education, including GCSE Maths and English (or equivalent).

Salary: £23,000 - £24,000 FTE (depending on skills, knowledge and experience)
Hours: 37.5 hours (30 hours considered)
