Chief Operating Officer at Aardvark Safaris Limited
Position and purpose:
The role works as operational and administrative support to the Aardvark Safaris sales team. You will learn how the sales team operates and deliver high-quality itineraries that exceed client expectations. You will ensure the highest standard of client care and satisfaction. This involves detailed record keeping, liaising with African suppliers, airlines, and clients, and general office duties.
The Sales Operations Support assists the Sales team in delivering perfect holiday itineraries that hold a wow factor for all our clients and deliver a perfect and seamless customer experience. Accuracy and attention to detail are the key requirements as is the ability to prioritise and effectively manage a busy workload.
Key Responsibilities:
1. Support the sales team throughout the sales process
2. Check availability of ground arrangements and prepare quotes for the sales team
3. Finalise schedules and book all aspects of client trips
4. Populate the client portal and ensure it is always up-to-date
5. Complete quality assurance checks to ensure nothing has been missed
6. Identify opportunities to upsell and cross-sell
7. Check deadlines for provisional reservations and confirmations
8. Filing invoicing and passing clients on to the finance team
9. Issue all ticketing and liaise with clients to ensure they have everything pre-trip
10. Liaise with local ground staff to ensure everything is in place, any queries are dealt with, and ensure that the services meet or exceed clients’ expectations and are delivered seamlessly
11. Work with the sales team to provide exceptional customer service and problem resolution pre-, during and post-trip addressing any concerns or special requests and ensuring client delight
12. Identify ways to improve internal systems and external client service
13. Update client portal, CRM system, and all other internal systems
14. Ensure the highest standards of client care
15. Provide out-of-hours support as required
16. Undertake any other duties as requested by the COO and Director of Sales

* Experience in / or an understanding of the Tourism Industry would be desirable but not essential.
