We are working with an award-winning Architecture and Design practice who have 2 offices based in the London area. They cover a wide range of projects, with the focus mainly being on hospitality architecture. They are now looking to hire an experienced Document Controller to join their team. Our client is looking for someone who has worked within the architecture/interior design business before, and has an understanding of how to role works within this industry. Previous experience of being a document controller is also essential.
The Role
* To review client document management systems, numbering systems and quality documentation/standards, on a project-by-project basis.
* When no document numbering system is provided, create an appropriate numbering system based on the company’s standard process.
* To manage and file all received project information within the project folder structure, ensuring that all information is stored in an accessible and easy-to-view manner.
* To create all document/drawing numbers when requested by project team members, generated by using the prescribed client management system (if applicable) or via the in-house generation system.
* Undertaking a Quality Assurance check on all outgoing information to ensure that all documentation leaving the company meets the minimum expected quality standards.
* Managing all issues of deliverable information to the client or other design team members or third parties, submitted via the appropriate method for the project. If any deliverables are rejected, investigate the causes and correct the information before resubmitting.
* Create and manage a log of all the submitted information on a project, clearly showing the individual revisions of a single document as separate issues.
* To manage external printing & delivery of contractual hard copies, as requested by a client.
* To upload and manage mark-up versions of documentation at the necessary standard/
* To undertake/assist with all documentation searches for a project team member whether searching internal project archives or using an external client system.
* Assist the project team in providing all necessary information at project handover.
* Ensure project documentation is properly archived (electronically) and that the archive register is updated accordingly.
The Candidate
* To have previous experience working as a Document Controller at an architecture practice.
* To have strong Microsoft Office skills and be confident in using Electronic Document Management Systems.
* The role requires excellent communication skills, reactiveness, and adaptability, to be deadline-focused and happy working as part of a team.
