Main duties of the job
The Successful Candidate Will
1. undertake a wide range of secretarial and administrative tasks
2. have personal responsibility for a number of delegated tasks
3. provide cover for members of the Administration Team in periods of absence, e.g., Annual leave.
4. be able to work unsupervised
5. adhere to operational procedures and established practice
6. refer to the Administration Supervisor for guidance when needed
7. prioritise administrative tasks to ensure an effective and efficient running of the team
8. maintain a professional and confidential approach to work at all times
9. be flexible in order to meet the requirements of the Locality Managers

Job Description
Job responsibilities
1. To ensure that accurate details are exchanged with all relevant staff. Give support to patients, carers and staff, where appropriate. Acting as a supportive member of the team at all times, including;
2. Working as part of a team ensuring that the daily administration tasks are completed effectively and efficiently.
3. To process inward and outward transfers of records and to deal with other Trusts regarding records as required
4. To process discharge summary letters and send them to the correct professional.
5. To support the process of booking and scheduling clinic, and create reports
6. To accurately file information
7. To answer incoming calls, dealing with enquirers in a helpful manner, proactively taking action where appropriate.
8. To deal with enquirers, correspondence and information received by the service in conjunction with other staff.
9. To scan relevant documentation, e.g., Patient notes, timetables, site information, notices.
10. To monitor stationery and store cupboards for stock and support in the ordering of service stationery and goods when requested.
11. Liaise with GPs, patients, etc.
12. General Admin duties and tasks which are variable.

Qualifications
Qualifications and Training Essential
1. Educated to GCSE level or equivalent
2. NVQ Level 3 in Business/Administration or equivalent knowledge and experience
3. Good spoken, written and understanding of English
4. Experience of using Microsoft Office suite; Word, Excel and PowerPoint
Desirable
1. ECDL
2. IT Literate
Experience and Knowledge Essential
1. Experience of working in a team
2. Motivated to extend knowledge and improve service delivery
3. Experience and ability to deal with non-routine activities appropriately and safely
4. Experience of handling and processing financial resources
5. Problem-solving and progress chasing skills
6. Health, safety and risk aware
Desirable
1. Knowledge of working in the NHS
2. Understanding of a medical environment where sick and injured patients are present
3. Have knowledge and use of web-based systems
4. Experience of using SystmOne Electronic Patient Records
