We are seeking an experienced Administrator to join us, to support the work of our Ipswich office. We are open to full-time (37.5 hours per week) or part-time (minimum 22.5 hours per week/3 days) applications. This role will be fully office based. About the firm and office Ensors is one of East Anglia’s oldest, most respected and fastest growing firms of Chartered Accountants with six locations in Suffolk, Cambridgeshire and Norfolk. Our modern office in central Ipswich is the base for approximately 130 staff, and is currently undergoing construction work to enlarge the premises to support our ongoing growth. About the role Working alongside the Office & Facilities Supervisor, you will be heavily involved in setting up and running administrative procedures to enable the office to run efficiently, and to support staff in the delivery of their service lines, enabling them to free up more of their time to focus on chargeable client work. You will be liaising with a wide variety of internal contacts on a daily basis, as well as clients and suppliers. Flexibility will be required, in order to cover evolving administrative requirements, as the role develops. Core responsibilities will include (but are not limited to): General office administration: reception duties including dealing with post, call handling, receiving deliveries, scanning and serving refreshments for client meetings. Facilities management including health & safety, dealing with maintenance and cleaning contractors. Overseeing general office supplies and re-ordering items as necessary. Client administration: system updates on client contacts database, preparing client create forms including electronic verification, preparing Engagement letters, completing ongoing Anti-Money Laundering review paperwork, bank letters, authority letters and solicitor letters Additional responsibilities will include: Group administration: work planner amendments, deadline spreadsheets amendments and monitoring and open audit file deadline monitoring. Ad hoc tasks : Binding of hard copies documents, organising group events and review of paper archiving documents. Skills and experience required: A strong background in administration – ideally a minimum of one year of recent work experience within an office environment (a professional services background would be preferred, but is not essential) Exceptional time management and organisational skills Capable of working accurately, independently and without close supervision Capable of multi-tasking, working on own initiative and being pro-active Ability to exercise complete discretion and confidentiality with regards to our work Proficient in Microsoft Word, Excel, Outlook and PowerPoint Awareness of GDPR and its application in the workplace The package includes: The role offers a great opportunity to gain experience within a prestigious team that has gained significant recognition.
