Personal Assistant to Associate Director of Medical Development

You will need to have excellent verbal and written communication skills in order to establish strong working relationships with colleagues within the department, across the wider Trust and external stakeholders.
This will involve working as a personal assistant for the Associate Director of Medical Development providing a high quality level of administrative service.
The post will also involve quality checking and managing multiple information streams therefore the successful applicant will be required to have excellent IT skills, a working knowledge/understanding of Microsoft Office applications, particularly advanced Excel and the use of databases, together with Diploma/NVQ Level 4 in Business Administration OR: Diploma/NVQ Level 3 (or equivalent) in Business Administration plus willingness to work towards the Diploma Level 4 (must be achieved within agreed timescale).
Applicants should be self-motivated, have a flexible approach to work. The ability to work with minimal supervision, prioritise work and deal with complex issues, are all essential criteria for the post.
Main Duties of the Job
To act as an initial point of contact for the Associate Director of Medical Development and provide all aspects of administrative service.
You must have the Right to Work in the UK in order to be successfully appointed to this role. Please note, this role does not meet the required eligibility criteria for sponsorship under the Skilled Worker visa and therefore the Trust is unable to offer sponsorship for this particular role.
Person Specification
Experience
* Experience of participation in service and quality improvement initiatives
* Where applicable experience of supervising / training junior administrative staff.
* Experience of working in a busy administrative role
Qualifications
* Diploma / NVQ Level 4 in Business Administration OR: Diploma / NVQ Level 3 (or equivalent) in Business Administration plus willingness to work towards the Diploma Level 4 (must be achieved within 2 years of commencement in post).
* ITQ Level 2 or equivalent
* Key skills in literacy and numeracy Level 2 or O Level / GCSE in Mathematics and English grade C or above
Knowledge
* Comprehensive knowledge of secretarial and administrative procedures and the ability to undertake associated tasks ensuring adherence to defined procedures and guidelines.
* Comprehensive knowledge of all Microsoft Office applications.
* Understanding of confidentiality and the associated legal and policy requirements
* Knowledge of quality improvements systems in healthcare.
* Knowledge of medical education and medical staffing functions.
Skills
* Input data accurately / efficiently
* Demonstrate good organisational and diary management skills to include coordination of meetings and associated duties
* Work on own initiative, prioritise work and consistently meet deadlines
* Copy type and transcribe accurately from audio tape or shorthand. Touch typing at 50+ wpm required.
* Communicate effectively with the English language and demonstrate both verbal and written comprehension skills.
* Maintaining concentration and attention to detail whilst also dealing effectively with interruptions.
* Depending on work area, lead, motivate and manage staff in a positive manner to facilitate delivery of an effective service
* Ability to take shorthand
