Job Title – Shipping Administrator – Part time
Salary – £28-30k Dependant on Experience (Pro-Rata)
Location – Rugby
Hours – 25 – 30 hours – standard office hours are Monday to Thursday 8.30am to 5.30pm and 8.30am to 1.00pm on Friday
Purpose of the Shipping Administrator role:
The Recruitment Group is working with a laser manufacturer who are looking for a Shipping Administrator to join their team. Working in a small, collaborative team, the role of the Shipping & General Office Administrator will be to arrange and to manage relevant customs documentation for UK/Worldwide shipments of laser systems and spare parts.
Main duties and responsibilities of a Shipping Administrator:
Liaising with customers and suppliers to arrange UK and Worldwide shipments of lasers, spare parts and components
Liaising with freight forwarders and couriers
Obtaining quotes from freight forwarders and couriers
Preparing import/export documentation i.e. producing commercial invoices, packing lists etc
Obtaining certified documentation where relevant
Dealing with customs queries
Import customs clearance instructions
Maintaining and understanding export and import records, obtaining C88, Import/Export entries and AWB, querying when necessary
Support with Service department administration, including preparing quotations, packing and shipment
Sales order processing
Credit control
General Office Tasks – Answering the phones, managing shared email accounts, filing, laser manual printing
Liaising with colleagues across all levels of the business, dealing with ad hoc requests as required
Experience/knowledge requirements for a Shipping Administrator:
Experience in Export compliance and shipping is essential
Good decision-making skills, ability to evaluate, prioritise and plan while responding to quickly changing workloads
A methodical, logical approach with good problem-solving abilities
Conscientious with a high level of attention to detail
Able to work on their own initiative within a time critical setting and as part of a team

Annual Holiday entitlement: 23 days holiday increasing with length of service (Pro rata for part time staff), to 24 days after 5 years, 25 days after 10 years, 26 days after 15 years, 27 days after 20 years
