About the Role We are looking for an Executive Assistant to provide administrative support to the Head Group Tax (primary) and to on an ad-hoc basis support the Group Tax Management Team and wider department. In addition, they will manage Group Tax department's purchase order and expense process, ensuring invoices are processed in an accurate & timely manner. Key Accountabilities Supports Head Group Tax with diary management, travel & logistics, expense claims, reviewing documents for sign off and various other administrative topics Coordinates the logistics of Management Team off-sites (on site or external) / key stakeholder / client / consultant meetings for the Head Group Tax and other Management Team members Coordinates, collates, and distributes pre-reads and communications on behalf of Head Group Tax Support in scheduling Management Team and Group Tax monthly meetings, taking meeting minutes and following up on action items as needed Managing Group Tax department purchase order (PO) and expense process. Processing average 20 expense items a month and prepare expense reports on quarterly basis Liaise with Procurement and Accounts Payables on a regular basis to monitor open expense items and act as a key contact point for clarification of enquiries related to expense items Responsible for the onboarding and offboarding of team members and provide guidance on Group Tax tools Provide ad-hoc administrative support e.g., support the organization of teams/department activities/events and any other tasks About the Team You will have an exciting opportunity to join Group Tax, a diverse and motivated team located in 20 countries worldwide, committed to delivering value to its business partners. About You An ideal candidate is a proactive self-starter able to manage priorities of more than one stakeholder (including senior stakeholders) and deadlines in the most efficient way. You have great analytical skills and accuracy, particularly when under pressure. Essentials: A minimum of 5 years experience in administrative and/or executive assistant positions in multinational/international enterprise or similar environment Rich experience in managing multiple priorities, proactive approaches to problem-solving with decision-making capability Proficiency in MS Office suite and willing to learn new tools Outstanding presentation skills Strong interpersonal and excellent English, written and spoken.
