Position Overview: My client is seeking a skilled, organised and motivated Private Client Legal Secretary with a minimum of 1 years experience in private client to join a dynamic team in Epsom, The ideal candidate will have a proven track record in managing client relationships, preparing legal documents, maintaining confidential files and ensuring smooth office operations. Key Responsibilities: Document Preparation: Draft, proofread, and amend legal documents such as wills, probate papers, trust documents, powers of attorney, and correspondence for clients. Prepare and file court documents and letters, ensuring accuracy and compliance with legal procedures. Client Liaison: Act as the first point of contact for clients, answering phone calls, scheduling meetings, and responding to inquiries. Assist with client intake by gathering personal and financial information as required for case preparation. Maintain and manage client records, ensuring that files are kept up to date and confidential. Administrative Support: Manage the diary and schedule appointments for solicitors or other professionals. Organize meetings, including virtual or in-person appointments with clients, other lawyers, and third-party professionals. Handle the administration of probate and estate matters, including filing necessary documents with the court. File and Case Management: Ensure client files are organized and up to date, tracking progress of cases and maintaining compliance with deadlines. Assist with billing processes by preparing timesheets, invoices, and client statements. Research: Assist solicitors in gathering information relevant to client matters, including conducting searches or compiling information about estates, trusts, or inheritance issues. Confidentiality & Compliance: Ensure all work is conducted within the bounds of confidentiality and data protection laws. Adhere to firm policies, procedures, and relevant legal regulations at all times. Qualifications Experience: Education/Experience: Proven experience as a legal secretary or administrator in a private client department (wills, probate, estate administration, trusts, family law, etc.). A background in law or legal studies is advantageous, though not always required. Skills: Strong knowledge of legal terminology and document formatting specific to private client matters. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal document management systems. Excellent written and verbal communication skills. Strong organizational skills with the ability to manage multiple tasks and meet deadlines. Exceptional attention to detail and ability to maintain accuracy under pressure. Personal Qualities: Ability to work independently and as part of a team. Discretion and ability to maintain confidentiality. A client-focused approach, showing empathy and professionalism.
