The Protocol and Conference Services Branch provides HQ MARCOM with a full range of conference services and executes all protocol issues for the CG. REQUIREMENT There is a requirement to recruit an individual on a 6 month contract in order to support the Protocol and Conference Services Branch as an assistant to the Chief (Protocol) and to undertake the following duties (this list is not exhaustive and is subject to change): DUTIES - Assists the Protocol Officer in all aspects of the general administration of visits to HQ MARCOM including accommodation, transport, security arrangements and bookings, liaison with other HQs/civilian organisations, preparation of pre-visit briefs/visit programmes for VVIP visits only. - Provide protocol support to the Command Group for Exercise and Conferences if required outside of this HQ. - Maintains a booking system for all conference and VTC facilities, using the Intranet link. - Prepares and runs conference facilities for VIP events. - Liaising with sponsor departments of non-VIP conferences to ensure the preparation and running of all facilities required are identified. - Tests and operates VTC equipment when required. - Reports any defect repair and routine maintenance of conference rooms, VTC studio and equipment to CIS. - Provides refreshments as required for VIP conferences SKILLS/EXPERIENCE DESIRED · Experience in administrative and/or secretarial services. · Experience in providing administrative support or protocol. · Ideally the successful candidate will have experience in managing conference facilities including booking and VTC systems. · Ideally the successful candidate will have experience in managing the administration of visits or events including the booking of accommodation, transport, security and escorts of guests. · High level of proficiency in Microsoft Tools (excel, word, outlook) up to an intermediate level. · Excellent verbal and written communication skills. · Ability to multitask and prioritise and manage varied workload. · This role involves team work and valuing and respecting different nationalities and cultures. · As this role can involve direct contact with VIPs and VVIPs and their staffs, the successful candidate should have some experience in interacting with high level officials and possess diplomacy, courtesy, tact, sensitivity, integrity and discretion. ESSENTIAL LANGUAGE AND SECURITY CLEARANCE REQUIREMENTS Language The work both oral and written in this post and in this Headquarters as a whole is conducted mainly in English. As a result, it is essential that the incumbent of this post has sufficient English language skills at the following level: English - PLS 3333 - (Listening, Speaking, Reading and Writing) Security Clearance This post requires the incumbent to hold a NATO Security Clearance at the level of “NATO Secret”. As the requirement is for an individual to fill this post as soon as practically possible and the fact that it is only for a period of 6 months it is essential that the successful candidate has either: · Current NATO Secret (or Higher) Security Clearance Or · Current National equivalent of NATO Secret (or Higher) Security Clearance Or · Recently held NATO Secret (or Higher) Security Clearance that will result in an expedited process to renew the clearance. Unfortunately, candidates that do not meet this requirement will be sifted out. CONTRACT DETAILS The successful candidate will be offered a 6-month temporary contract Depending on requirements it may be extended to a maximum of a further 6 months resulting in a maximum period of employment of 1 year, but this cannot be guaranteed.
